The Alumni Engagement Project Manager provides comprehensive administrative, communications, and programmatic support within Alumni Engagement. Reporting to the Executive Director of Annual Giving and Alumni Engagement, functions as the key support in the coordination, management, and implementation of the operations of the department. This position requires flexibility to work overtime, including weekends, to support events and activities as needed.
Duties and Responsibilities- Performs a variety of clerical duties in support of the department, including preparing check requests, expense and mileage reimbursements, expenditure and revenue transfers, and purchase orders; processes incoming checks and cash for deposits; orders promotional items and office
- Processes and maintains event registration records including entering data into the main university informational database, software that powers the Alumni Relations website, and the use of various Microsoft Office
- May assists the Alumni Association and Town & Gown Boards of Directors by helping to organize the annual retreat, meetings, and Nominations Committee meetings, prepares meeting materials, updates rosters and Board of Directors
- Uses software to create new landing pages and update existing
- Monitors website content for quality control, and updates web pages as
- Utilizes collaborative design tool (Canva preferred) to create and edit collateral, templates, and related marketing
- Assists in the execution of meetings and events, including but not limited to room reservations, catering services, audiovisual requirements, vendor management, set-up and clean-up.
- Prepares materials for events, including name tags, check-in sheets, decorations, and promotional
- Provides budget support; monitors and collects budget
- Supervises student employees; assigns, reviews, coordinates, and prioritizes workload and
- Oversees implementation of workflow efficiencies and tools that streamline projects and
- Creates and oversees the maintenance of policies and procedures for all alumni and community relations
- Provides exceptional communication support with a high degree of tact and technical knowledge; responds to internal and external requests, prioritizes and processes requests accordingly.
- Maintains department confidentiality of sensitive data, information, activities, and decisions; adheres to all safety and housekeeping policies and
- Acts as primary greeter and initial contact for walk-in traffic and answers

Experience/Training/
Education:
Any combination equivalent to, but not limited to, the following:
- High school diploma or equivalent supplemented with two years of additional coursework in related fields such as business, secretarial, computer software/word processing and spreadsheet programs including the ability to use database and Microsoft Office software
- Three years of administrative support experience or related
- Considerable knowledge of administrative procedures, word processing, spreadsheets, and database software
Knowledge and
