Reporting to the Assistant Dean of Operations and Analytics, this staff position serves as the front face of the Office of Licensure and Credentialing, responding to phone inquiries and assisting walk‑in visitors. The role requires on‑site presence in the office.
Responsibilities also include oversight of compliance documentation processes, conducting thorough quality reviews of student‑submitted documents for credential program requirements to ensure accuracy, completeness, and conformity with regulatory and institutional standards.
Working hours are flexible, Monday through Friday between 8 AM and 5 PM, scheduled based on mutual agreement and university needs.
Responsibilities- Serve as the primary point of contact for the Office of Licensure and Credentialing (OLC), greeting visitors, answering multiple phone lines, and providing frontline support and information to students, faculty, and external stakeholders.
- Conduct thorough quality reviews of student‑submitted documents for credential program requirements, verifying accuracy, completeness, and conformity with regulatory and institutional standards.
- Review and verify eligibility documentation for interns, residents, and student teachers to ensure compliance with program requirements and regulatory standards.
- Process and verify state licensure documentation to ensure compliance with regulatory requirements and institutional standards.
- Prepare student records for fieldwork placements and credential recommendations, maintaining accurate records and timely submission of required documentation.
- Draft credential status letters in collaboration with OLC staff, ensuring accuracy and adherence to institutional and regulatory requirements.
- Administer mentor teacher stipend processes, including tracking, documentation, and payment.
- Process and support mileage reimbursements for students and faculty in accordance with university policies.
- Coordinate space reservations for Office of Licensure and Credentialing events and meetings.
- Utilize student information systems to look up, enter, and monitor various activities, data points, and compliance records.
- Maintain organized filing systems and databases for credential documentation, ensuring accessibility and confidentiality of student records.
- Support the School of Education Dean's Office in execution of special projects and initiatives.
- Perform other duties and special projects as assigned.
- High school diploma or equivalent with two years of additional coursework in related fields such as business, secretarial work, word processing, and spreadsheet applications.
- Three years of administrative support experience, or equivalent, including proficiency with Microsoft Office software.
- A valid California Class C driver's license with a clean driving record.
- Previous experience in educational administration, campus operations, or program coordination (preferred).
- Strong organizational and time‑management skills, with the ability to prioritize tasks and meet deadlines.
- Excellent communication and interpersonal skills, with the ability to build relationships and collaborate effectively with diverse stakeholders.
- Effective written and oral communication skills; proficient in English grammar, spelling, and punctuation.
- Basic knowledge of mathematics.
- Detail‑oriented with high accuracy.
- Ability to work independently and with minimal supervision in a fast‑paced environment with changing priorities.
- High degree of motivation, tact, and diplomacy.
- Proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint.
- Ability to operate standard office equipment.
- Aptitude to learn new and evolving technology.
- Knowledge of federal and state policies and laws and ability to apply them.
