Salary Range: $23.00-$24.00
Hiring Range: Anticipated hiring range is near or at the minimum of the classification, commensurate with candidate's education, experience, skills, and training.

OverviewThe Annual Giving and Alumni Engagement Coordinator provides comprehensive administrative, communications, and programmatic support within Alumni Engagement. This role reports to the Executive Director of Annual Giving and Alumni Engagement and collaborates with colleagues across Alumni Engagement, Annual Giving, and Major Gifts to support the goals of the Advancement Division. Responsibilities include updating websites, developing marketing materials, and promoting events in written and electronic formats.
Some overtime including weekends may be required to support events and activities.
- Assist in planning, marketing, coordinating, and executing Alumni Reunion Weekend, Homecoming, Family Weekend, and class reunion events in collaboration with alumni volunteers and the Annual Giving team.
- Assist in planning, marketing, coordinating, and executing regional alumni and community engagement events with alumni volunteers, Annual Giving, Major Gifts, and Events Services teams.
- Perform clerical duties in support of the department (check requests, expense/mileage reimbursements, expenditures and revenue transfers, purchase orders); process incoming checks and cash; order promotional items and office supplies.
- Process and maintain event registration records; enter data into university systems (e.g., Colleague Advancement, iModules, Slate) and use Microsoft Office programs.
- Assist the Alumni Association Board of Directors by organizing annual retreat and meetings; prepare meeting materials, update rosters and Board Handbook.
- Use IT systems to create new landing pages and update existing pages for Annual Giving and Alumni Engagement websites; monitor website content for quality and update pages as needed.
- Utilize design tools (Canva preferred) to create and edit collateral, templates, and related marketing materials.
- Assist in the execution of meetings and events (room reservations, catering, AV, vendor management, setup and cleanup).
- Prepare event materials (name tags, check-in sheets, decorations, promotional material).
- Provide budget support; monitor and collect budget information.
- Supervise student employees; assign, review, and prioritize workload and scheduling.
- Oversee workflow efficiencies and tools that streamline projects and activities.
- Develop and maintain policies and procedures for Alumni Engagement functions.
- Provide strong communication support with tact and technical knowledge; respond to internal and external requests and prioritize accordingly.
- Maintain department confidentiality of sensitive data and adhere to safety and housekeeping policies; act as primary greeter for walk-in traffic and answer phones.
Performs other duties as required or assigned.
Qualifications- High school diploma or equivalent plus two years of related coursework in fields such as business, secretarial work, or computer software; proficiency with database and Microsoft Office programs.
- Three years of administrative support or related experience.
- Knowledge of administrative procedures, word processing, spreadsheets, and database software.
- Working knowledge of higher education environments.
- Excellent verbal and written communication skills; strong organizational skills and attention to detail.
- Ability to prioritize tasks, meet deadlines, and work independently in a fast-paced environment with changing priorities.
- Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint); ability to operate standard office equipment.
- Ability to work with confidential information and interact with a diverse population.
- Aptitude to learn new and evolving technology and to collaborate with internal and external stakeholders.
Physical Requirements /
Working Conditions:
Standard office and field settings; duties primarily in an office environment or during events. Requires ability to work evenings and weekends and attend university events outside normal hours as needed. Physical demands include sitting for long periods, walking, climbing stairs, traveling to meetings, using a computer, and lifting up to 25 pounds.
