Role Overview
The Executive Business Administrator provides high-level operational, calendar, and logistics support for senior leaders. This role manages complex schedules, coordinates meetings and events, oversees travel and expenses, drives team operations, and ensures smooth day-to-day execution. The EBA anticipates needs, communicates clearly, builds strong relationships across teams, and proactively solves problems to enable leadership to operate at their highest impact.
The role involves performing a variety of complex administrative functions for all levels of management, including external business partners. Responsibilities include managing schedules, coordinating travel arrangements, processing business expenses, coordinating meetings and events, managing department financial operations, personnel operations, and facility operations. The role also involves managing the procurement of goods and services, providing general office support, serving as the department/group contact, and completing special projects as assigned.
KeyProjects & Task Breakdown
- Calendar support for a GM-level manager and their team of 50.
- General support for the EA team, working closely with two EAs; right hand of the lead EA and assist on various projects as needed, including event management.
- Approximately once a month, support event management for team weeks or town halls, which includes booking conference rooms, coordinating with attendees, confirming audio/video packages, and supporting travel for some members.
- Plan happy hours at restaurants.
- Operating rhythm: 40% GM calendaring and team support, 50% supporting the EA team, and 10% event management.

The ideal resume would contain many or all of the following: - Proven ability to manage complex calendars, high-volume email flow, and shifting priorities with accuracy and discretion.
- Strong skills in event planning, meeting coordination, travel logistics, and budget/expense management.
- Excellent written and verbal communication, with the ability to draft professional correspondence and partner effectively across teams and levels.
- Demonstrated strengths in problem-solving, anticipating needs, and driving operational excellence with minimal direction.
- High proficiency in 365 tools (Outlook, Teams, Excel, PowerPoint, One Note, SharePoint).
- Ability to build trusted relationships, maintain confidentiality, and operate with professionalism, judgment, and a customer-first mindset.
- Comfortable balancing both strategic support and hands‑on administrative tasks in a dynamic environment.
- Performance Indicators:
Performance will be assessed based on the ability to work with ambiguity, adapt to change, perform daily tasks in a high-energy/fast-paced environment, ramp up quickly, collaborate well, and receive regular feedback from one-on-ones with managers and team members.
- Minimum 3 years of experience in administrative, business support, or operations roles within fast-paced, matrixed environments; experience supporting senior leaders is strongly preferred.
- Minimum 3 years of experience with complex calendar management in Outlook.
- Minimum 3 years of experience with event support and coordination.
