About the Role

We are seeking a highly organized and proactive individual to provide comprehensive administrative support to our thriving engineering group, which is over 200 members strong and continuously growing. This role is crucial for maintaining operational excellence and ensuring our team can focus on delivering cutting‑edge solutions. You will be instrumental in managing the day‑to‑day logistics, coordinating key events, and facilitating internal programs that enhance team cohesion and productivity.

Key Responsibilities
  • Perform a wide array of complex administrative duties for various levels of management and external business partners.
  • Manage intricate schedules, coordinate travel arrangements, and meticulously process business expenses.
  • Orchestrate and support internal in‑person events, meetings, and programs, ensuring smooth execution.
  • Oversee departmental financial, personnel, and facility operations to maintain optimal functioning.
  • Manage the procurement of essential goods and services, including equipment, office supplies, and reference materials, while fostering strong vendor relationships.
  • Provide essential general office support, serving as a key contact point for the department or group.
  • Contribute to and complete special projects as assigned, demonstrating adaptability and initiative.
  • Work a standard Monday‑Friday, 40‑hour week, with potential for approved overtime as needed to support critical initiatives.
Qualifications Must‑Have

Skills & Experience:

  • Proven experience in performing a variety of complex administrative functions for diverse management levels.
  • Demonstrated proficiency in managing schedules, coordinating travel, and processing expenses with accuracy.
  • Experience in coordinating and supporting meetings, events, and various operational functions (financial, personnel, facility).
  • Strong background in managing procurement processes for goods and services, including vendor relationship management.
  • Exceptional general office support skills, capable of serving as a primary departmental contact.
  • Ability to successfully complete special projects and adapt to evolving priorities.
  • A demonstrated history of stable employment, with roles typically exceeding 6 months for contract positions and 12 months for full‑time positions.
