Position: Executive Administrative Assistant 2

Key Responsibilities

  • Complex Calendar & Meeting Management
    • Manage heavy, proactive calendaring across global time zones, continuously reprioritizing based on changing executive needs and business priorities.
    • Partner closely with internal and external Executive Assistants to coordinate meetings, resolve conflicts, and ensure agendas, materials, and attendees are fully aligned.
    • Serve as a primary point of contact between the General Managers and stakeholders across all levels of the organization, ensuring smooth communication and alignment.
  • Travel & Logistics
    • Plan and manage detailed domestic and international travel itineraries, including real‑time adjustments and contingency planning.
    • Coordinate executive participation in summits, offsites, customer engagements, leadership reviews, and other high‑visibility events.
    • Process expense reports with accuracy and ensure timely reconciliation in accordance with company policy.
  • Rhythm of Business (ROB) & Operations
    • Support ROB activities and planning cycles across WWIC and associated business groups.
    • Build, manage, and optimize ROB cadence in partnership with Business Management, ensuring operational continuity.
    • Execute recurring meeting cadences, prepare agendas, track action items, and maintain alignment across quarterly and annual planning cycles.
  • Operational & Project Coordination
    • Oversee day‑to‑day team operations including space management, onboarding, procurement, and distribution list administration.
    • Lead and support special projects and cross‑organizational initiatives on behalf of GM‑level leaders.
    • Track commitments, follow‑ups, communications, and deliverables to ensure organizational clarity, accountability, and alignment.
Required Skills
  • Executive Assistant experience supporting Director, GM, or CVP‑level leaders at Microsoft, including at least 12 months of verifiable EA experience with consistent availability for senior leader support.
  • Advanced proficiency with Microsoft 365 tools:
    Outlook, Teams, Excel, PowerPoint, and One Note.
  • Demonstrated success managing high‑volume executive calendars, complex travel logistics, and senior‑level stakeholder engagement.
  • Strong communication skills, executive presence, sound judgment, and the ability to maintain strict confidentiality.
  • Familiarity with Microsoft internal tools, ROB frameworks, operational planning rhythms, and organizational workflows

Pay Details

$39.45 per hour
