Executive Administrative Assistant
We are a technology solutions firm headquartered in Bellevue, Washington, with a strong presence across the United States. We use technology to bridge the gap between strategy and execution, powered by the expertise of our teams.
We are looking for an Executive Administrative Assistant to support senior leaders within a global enterprise sales organization and maintain operational efficiency of a virtual, worldwide team.
Responsibilities- Calendar Management (60-70%) – Fully manage the calendars of senior leaders, ensuring consistency and alignment with organizational priorities, handle complex scheduling across time zones, and maintain a high level of coordination.
- Expense Reporting (15%) – Prepare, submit, and manage expense reports for senior leadership, review and approve invoices and financial documents as needed.
- Travel Coordination (15%) – Arrange domestic and international travel, including flights, accommodations, ground transportation, visa processes, and adapt quickly to changes.
- General Administrative Support – Provide high-level administrative support, manage records, order supplies, perform basic bookkeeping, handle incoming memos and reports.
- Meeting Coordination – Prepare agendas, arrange conference calls and video conferences, assist in planning and coordinating off-site events and meetings.
- 4-5 years of experience in executive administrative roles with strong focus on calendar management, business administration, travel coordination, and expense reporting.
- Previous experience supporting senior executives, preferably within Microsoft or similar enterprise-level organizations at the C-Suite level.
- Extensive experience with Microsoft Office tools, including Word, Excel (V-lookups, pivot tables), and PowerPoint.
- High school diploma or GED required.
- Exceptional verbal and written communication skills.
- Strong organizational and multitasking abilities, with emphasis on thoroughness and attention to detail.
- Proactive problem-solving approach and ability to work independently and manage time effectively.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Experience in event planning and coordination, including off-site meetings and morale events.
For candidates based in Washington State, the anticipated salary range is $33.65 to $38.00 USD/hour
. Actual starting pay will be determined based on experience, skills, and internal equity.
