This Administrative Assistant 2 role supports a fast-paced product management team within a security-focused organization, providing high-quality administrative and operational support in an on-site, customer service-driven environment. You will play a critical role in enabling team effectiveness by managing day-to-day operations, coordinating events and logistics, and supporting key initiatives to help maintain a well-organized, high-functioning team.
Responsibilities
+ Provide comprehensive administrative support to a fast-paced product management team within a security organization, ensuring high responsiveness and excellent customer service.
+ Perform a variety of complex administrative functions for all levels of management, handling tasks with discretion, accuracy, and professionalism.
+ Support team operations by managing calendars, coordinating meetings, and assisting with the execution of team projects and cross-functional initiatives.
+ Organize and execute team morale events, offsites, leadership meetings, and engagement activities, including planning, scheduling, and on-site coordination.
+ Coordinate office space management and on-site logistics, ensuring that seating, room assignments, and shared spaces support efficient team operations.
+ Manage catering and event-related vendor coordination for meetings, offsites, and team events, including ordering, scheduling, and delivery oversight.
+ Track budgets, expenses, and purchase requests, maintaining accurate records and supporting adherence to financial guidelines and approvals.
+ Perform core administrative and operational tasks such as document preparation, data entry, and information tracking with a high degree of accuracy.
+ Manage procurement of goods and services, including computer equipment, office supplies, reference materials, and other resources needed for the team.
+ Provide general office support and serve as a primary department or group contact, responding to inquiries and directing requests appropriately.
+ Complete special projects as assigned, adapting to changing priorities and supporting leaders and teams with ad hoc operational needs.
+ Collaborate closely with leaders and team members to support operational rhythms, key initiatives, and process improvements.
+ Lift and move items up to 20 pounds as needed for events, office setup, or equipment handling.
Essential Skills
+ 1-2 years of experience using Microsoft 365 applications, including Outlook, Excel, PowerPoint, and Teams, to support daily administrative and operational tasks.
+ 1-2 years of experience in event planning and execution, including team events, offsites, and leadership meetings.
+ 1-2 years of customer service experience, demonstrating responsiveness, professionalism, and a strong service mindset.
+ Prior administrative experience supporting teams and management in a professional environment.
+ Strong communication skills, including clear verbal and written communication and professional demeanor in meetings and interviews.
+ Ability to confidently discuss previous experience and answer technical and process-related questions during assessments and in day-to-day work.
+ Proficiency in organizing and prioritizing multiple tasks in a fast-paced environment while maintaining accuracy and attention to detail.
+ Ability to manage budgets, expenses, and purchase requests with accuracy and accountability.
+ Experience coordinating logistics such as office space management, on-site meetings, and vendor interactions.
+ Ability to lift up to 20 pounds to support event setup, office moves, or equipment handling.
+ Availability and commitment to work 100% on-site, five days per week, within commuting distance of the work location.

Skills & Qualifications
+ Experience supporting a product management or security-focused organization is beneficial.
+ Experience in coordinating cross-functional initiatives and working with multiple stakeholders.
+ Familiarity with procurement processes for equipment, office supplies, and services.
+ Demonstrated ability to act as a central point of contact for a department or group.
+ Strong organizational skills and the ability to support operational rhythms and key initiatives.
+ Professional presence and interview readiness, including the ability to articulate experiences and handle technical or situational questions.
+ Comfort working in a structured, full-time on-site role with consistent Monday-Friday hours.
+ Willingness to take on special projects and adapt to evolving team needs.
Work Environment
This role is fully on-site, five days per week, in a professional office environment within a security-focused organization. You will work a standard Monday-Friday schedule of approximately 40 hours per week, with no regular overtime expected.
