Administrative Assistant (Contract)

Summary

We are seeking a highly organized, proactive, and detail-oriented administrative professional to provide comprehensive support to a dynamic, fast-paced product design and user experience team. This role primarily supports a partner-level manager with complex calendar management while also contributing to broader team operations. The ideal candidate thrives in an environment of constant change, anticipates needs before they arise, communicates with confidence and clarity, and takes pride in delivering exceptional service to stakeholders at every level.

This is a hybrid, onsite-forward position requiring four days per week in the office.

Job Responsibilities

  • Manage and maintain two complex partner-level calendars, including scheduling, prioritization, and conflict resolution
  • Coordinate domestic and international travel arrangements, including itineraries, accommodations, and logistics
  • Plan, coordinate, and execute team meetings, morale events, conferences, and meetup week activities
  • Monitor and follow up on team requests to ensure timely resolution and clear communication
  • Support department financial operations including submitting purchase orders, processing expenses, and tracking budgets
  • Manage personnel operations including onboarding and offboarding of employees
  • Coordinate facility operations and order hardware, peripherals, and office supplies as needed
  • Draft and send professional communications on behalf of supported leaders
  • Learn team structures, priorities, and workflows to proactively anticipate operational needs
  • Complete special projects and ad hoc assignments as directed by leadership
Requirements

  • 2–4 years of administrative or executive support experience required
  • Experience supporting senior or partner-level leaders with complex scheduling strongly preferred
  • Background in event planning, morale coordination, or conference logistics is highly valued
  • Experience working within large, matrixed organizations or enterprise environments preferred
  • Prior Microsoft experience is a plus but not required
  • Customer service background is considered a valuable asset
  • Exceptional complex calendar management skills, particularly at the senior or partner level
  • Strong written and verbal communication skills with the ability to interact confidently with senior stakeholders
  • High degree of proactiveness — ability to anticipate needs without being prompted
  • Outstanding attention to detail and organizational skills
  • Strong problem-solving ability and sound judgment in ambiguous situations
  • Ability to operate effectively and calmly in a fast-paced, constantly evolving environment
  • Experience coordinating events, team logistics, and large-scale meetings
  • Familiarity with Microsoft tools including calendar, expense, and travel platforms, as well as purchase order submission processes
  • Customer service mindset with a collaborative and team-oriented approach
  • Ability to work independently and manage multiple priorities simultaneously
