We are seeking an organized and detail-oriented Order Processing Specialist to support customer orders from entry through invoicing and shipment. This role works closely with Sales, Finance, Production, Support, customers, and shipping partners to ensure orders are accurate, complete, and processed on time.
Key Responsibilities- Create and maintain customer orders, quotes, invoices, shipment records, and related documentation.
- Review orders for accuracy, including customer, billing, shipping, payment, PO, product, warranty, and shipment information.
- Coordinate with internal teams, customers, and shipping partners to resolve order discrepancies and delivery issues.
- Monitor and route order-related communications and urgent requests.
- Prepare domestic and international shipments, including shipping and customs documentation.
- Process invoices, credits, split shipments, warranty adjustments, and account documentation.
- Support repair orders and returns, including RMA processing and documentation.
- Follow procedures related to sales tax, warranties, international shipments, and compliance documentation.
- Maintain accurate records and assist with procedure updates, training materials, and process improvements.
- Communicate professionally with customers regarding order status, shipping, payments, and required documentation.
- Work occasional evenings or weekends as needed to meet business deadlines.
- Perform other duties as assigned.
- 6 months-1 year of related experience is a plus.
- Proficient with Microsoft Word, Excel, PowerPoint, and Outlook.
- Familiarity with accounting or order-processing software preferred.
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication skills.
- Ability to solve problems, manage multiple priorities, and work effectively with customers and internal teams.
- Must be comfortable working with numbers, percentages, discounts, and basic calculations.
