Administrative Assistant

We are seeking a highly organized and professional Administrative Assistant to support a collaborative Legal & Corporate Affairs team. This role is ideal for someone who enjoys managing complex schedules, coordinating logistics, and providing high-level administrative support in a fast-paced environment.

The team oversees a broad portfolio of work related to intellectual property, business compliance, government relations, public policy initiatives, corporate citizenship, and community engagement programs.

Key Responsibilities Calendar & Meeting Management (Primary Focus)
  • Manage complex executive and team calendars across multiple time zones.
  • Schedule meetings and coordinate logistics with internal and external stakeholders.
  • Prioritize requests based on changing business needs and deadlines.
  • Ensure meeting details, agendas, and invitations are accurate and up to date.
  • Communicate professionally regarding scheduling changes and conflicts.
Administrative Support
  • Coordinate domestic and international travel arrangements.
  • Prepare and submit expense reports.
  • Assist with business operations and administrative processes.
  • Support compliance with organizational policies and procedures.
  • Process approvals and administrative requests for team members.
  • Maintain confidential and sensitive information with discretion and professionalism.
Team & Event Support
  • Assist with team meetings, off-sites, all-hands events, and morale-building activities.
  • Coordinate room reservations, catering, and event logistics.
  • Order office supplies, equipment, and other business resources.
  • Support workspace and facilities-related requests.
  • Help create and update presentations and other business materials as needed.
  • Contribute to a positive and professional team environment.
Typical Day
  • 80% Calendar Management & Scheduling
  • 10% Team Meetings
  • 10% Team and Administrative Support
Required Qualifications
  • 2-4 years of experience in an administrative, customer-facing, or office support role.
  • Strong customer service mindset and professionalism.
  • Excellent verbal and written communication skills, including professional email correspondence.
  • Strong organizational and time-management skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • High attention to detail and ability to handle confidential information.
  • Comfortable learning and using business applications and technology tools.
  • Ability to collaborate effectively with individuals at all levels of an organization.
Preferred Qualifications
  • Bachelor's degree preferred but not required.
  • Experience supporting leaders, teams, or business functions in a corporate environment.
  • Experience coordinating travel and processing expenses.
  • Proficiency with Outlook, Teams, PowerPoint, Excel, Word, and related productivity tools.
