We're looking for a Business Administrator to serve as a key operational partner supporting executive leadership and driving business operations for an enterprise-scale organization. This role manages everything from executive calendars and rhythm-of-business processes to onboarding, vendor administration, events, and communications — all while handling sensitive information with professionalism and discretion.
What You'll DoManage complex executive calendars, meeting logistics, and leadership cadence activities. Coordinate executive communications and facilitate alignment across stakeholders. Support meeting preparation, follow-up tracking, travel, and expense management.
Business Operations ManagementCoordinate Rhythm of Business (RoB) processes, leadership meetings, and operational cadences. Track action items and deliverables across stakeholders. Drive process improvements and support organizational compliance.
Headcount, Hiring & OnboardingManage end-to-end vendor onboarding/offboarding, coordinate new hire onboarding and employee offboarding logistics, and partner with HR, Recruiting, Procurement, and Security on workforce operations.
Communications & Content ManagementCreate and maintain internal communications, presentations, SharePoint content, and organizational documentation, along with operational trackers and process resources.
Events & Program CoordinationPlan and execute leadership forums, offsites, town halls, recognition programs, and engagement events, including logistics, vendor management, and budget reconciliation.
Cross-Functional PartnershipCollaborate with leadership, HR, Finance, Procurement, Security, Facilities, and external vendors as a trusted operational point of contact.
What You'll Need- 3+ years of experience in business administration, executive administration, business operations, or program coordination
- Strong written and verbal communication skills
- Ability to handle confidential and sensitive information with discretion
- Experience supporting global or enterprise-scale organizations
- Demonstrated experience managing complex scheduling and calendar operations
- Experience coordinating onboarding, hiring, or workforce administration
- Strong organizational, prioritization, and project coordination skills
- Proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint, SharePoint)
- High attention to detail and ability to manage multiple priorities in a fast‑paced environment
- 5+ years supporting business operations, executive leadership, or corporate administration
- Experience planning large-scale meetings, events, and engagement programs
- Experience developing SharePoint sites, executive communications, and newsletters
- Track record of driving process improvements
- Familiarity with Microsoft internal systems and tools
No C2C | Hybrid 3-4 days onsite | Rate $34-37/hour DOE
