SummaryWe are seeking a highly experienced Business Operations Specialist to join a dynamic, cross-functional team focused on trusted technology initiatives spanning accessibility, digital safety, privacy, and enterprise resilience. This hybrid role, based in Redmond, WA, is central to driving operational excellence across a complex portfolio of programs. The ideal candidate will bring deep expertise in budget management, executive communications, and rhythm of business operations, serving as a critical partner to senior leadership at the VP and CVP level.
This position requires a strategic thinker who can manage competing priorities, synthesize complex data into compelling narratives, and influence stakeholders across a matrixed organization.
- Own and orchestrate end-to-end budget management and forecasting activities across a multi-million-dollar portfolio, including variance reporting and spend analysis
- Lead day-to-day rhythm of business (ROB) operations, ensuring consistent cadence and alignment across teams
- Prepare and deliver high-quality executive communications, including internal all-company emails, town hall materials, and leadership briefings
- Draft external-facing communications such as Linked In posts and other corporate messaging with strong storytelling and brand alignment
- Establish, document, and continuously improve business processes to drive operational efficiency
- Set up and maintain project and work breakdown structures, tracking goals, deadlines, and key metrics
- Monitor project budgets and expenditures, track transaction controls, and proactively identify and resolve potential budget overruns
- Maintain storage and retrieval systems for project communications data and business metrics
- Review contracts, cost proposals, and contract supplements for accuracy and compliance
- Manage and influence cross-functional stakeholders across the business to ensure alignment and execution on key priorities
- Support preparation and orchestration of town halls and other large-scale internal events
- 5+ years of experience managing multi-million-dollar budgets, including forecasting and variance reporting
- 5+ years of experience in executive or corporate communications with demonstrated storytelling ability
- 5+ years of stakeholder management experience across complex, matrixed organizations
- 10+ years of progressive experience in business operations, business management, or a Chief of Staff-type role
- Prior experience supporting senior executives at the VP or CVP level strongly preferred
- Bachelor's degree in Business Management, Economics, Finance, Accounting, or a related field required
- Strong verbal and written communication skills with exceptional attention to detail
- Proven ability to work independently, manage time effectively, and prioritize in a fast-paced environment
- Deep knowledge of strategic planning, resource allocation, and business management principles
- Ability to analyze business trends and project future revenues and expenses
- Strong proficiency with productivity and enterprise applications including Microsoft Word and Excel
- Ability to apply accounting and mathematical principles to financial analysis and reporting
- Experience supporting VP or CVP-level leadership in a Business Management or Chief of Staff capacity
