Adecco is currently hiring a full-time Site Administrator for our client in Regina, Saskatchewan. In this role, you will provide critical administrative support to site operations, working closely with the Site Supervisor to ensure accurate payroll entry, efficient billing processes, organized documentation, and strong customer service. Pay RateStarting at $26.00/hour (based on experience)

Schedule- First 2 weeks: 4 x 10-hour shifts (Mon-Thu)
- After 2 weeks: 5 x 10-hour shifts
- Toward project end: 6 x 10-hour shifts

Payroll & Timekeeping
- Enter and process employee time, including new hire and termination details.
- Review, verify, and file employee timesheets, ensuring all information is complete and accurate.
- Reconcile swipe data with timesheets and make required adjustments.
- Process, balance, and maintain weekly payroll data.
- Compile and verify attendance, hours worked, pay adjustments, and related payroll records.
- Issue and record corrections for payroll errors or retroactive adjustments.
- Manage data entry for 100-150 timesheets per cycle.
- Verify Purchase Orders (POs) and Work Orders (WOs).
- Maintain rental billing files and ensure all documentation is audit-ready.
- Monitor invoice status and resolve discrepancies promptly.
- Maintain accurate onsite electronic and paper files.
- Update contract information, including pricing and billing parameters.
- Perform order entry and support billing processes.
- Balance hours with the customer on a daily basis.
- Provide reports to supervisors and forepersons as required.
- Update scaffold logs, productivity logs, and track equipment movement.
- Maintain weekly labour spreadsheets for mobilization and tracking.
- Respond to customer inquiries and provide high-quality service.
- Support all site supervisors with administrative tasks.
- 1-3 years of related administrative or site support experience.
- High school diploma required; additional post-secondary education is an asset.
- Experience in construction, industrial, or LID (Large Industrial Division) environments is preferred.
- International experience in similar roles is accepted.
- Intermediate proficiency in Microsoft Office, especially Excel and Word.
- Strong Excel capabilities, including:
- Pivot tables
- VLOOKUP
- Fast, high-volume data entry
- High accuracy and attention to detail
- Ability to interpret written, verbal, diagram, and schedule instructions.
- Excellent written and verbal communication abilities.
- Strong organizational and time‑management skills with the ability to meet tight deadlines.
- Self‑motivated, adaptable, and comfortable in a fast‑paced environment. Exceptional attention to detail and commitment to accuracy.
- Health & Safety training.
- Previous experience supporting payroll or site administration in industrial settings.
- Must be legally eligible to work, and reside in Canada.
