Reception & Administrative Support
Greet and assist visitors
Handle incoming calls and general office duties
Schedule and direct appointments
Payment processing
Bookkeeping
Perform bookkeeping duties using Sage 50 accounting software
Website & Social Media
Update and maintain Chamber website and social media accounts
Event Coordination
Assist with planning and execution of Chamber events including luncheons, breakfasts, award ceremonies, golf tournament, and AGM
Book venues, coordinate setup requirements
Handle registrations and promotions
Sponsorship letters
Board Support
Prepare meeting packages and reports
Record and distribute meeting minutes
Membership Administration
Assist with recruitment and retention of members
Prepare and update new member packages
Maintain member information in Chamber Master, accounting software, and email distribution lists
Communication
Create and distribute mass emails to membership
Draft correspondence and business communications
Other Duties
Manage calendars and coordinate meetings
Sign Certificates of Origin
Handle boardroom rentals
Provide administrative support to the CEO and Board of Directors as needed
Undertake other responsibilities as assigned
Qualifications & Skills
Post-secondary education in business, administration, or equivalent relevant experience
3-5 years of experience in an executive assistant or office administration role
Advanced proficiency in Microsoft Office Suite
Experience with accounting software (Sage 50 preferred)
Strong written and verbal communication skills
Excellent organizational, time management, and multitasking abilities
High attention to detail and problem-solving skills
Ability to work independently and maintain confidentiality
Experience in website and social media management is an asset
Experience in membership database
Experience in creating surveys
