Position: Committee Support Clerk
Location: Moose Jaw

The City of Moose Jaw is seeking a precise, highly organized Committee Support Clerk to provide administrative, procedural, and records management support to the Citys advisory boards, committees, and commissions. Reporting to the Assistant City Clerk, this position prepares agendas and minutes, maintains official records, supports governance documentation, and attends scheduled evening meetings as required.

Key Responsibilities:
  • Provide Clerk support for assigned boards, committees, and advisory bodies, including meeting scheduling, agenda preparation, minute taking, follow-up documentation, public notices, and statutory requirements.
  • Maintain accurate public records of agendas, minutes, decisions, bylaws, supporting documentation, filing systems, archives, and records managed under the Citys retention and disposal requirements.
  • Prepare clear correspondence, notices, briefs, and reports; support LA FOIP requests; respond professionally to public inquiries; serve as a Commissioner for Oaths; and provide City Council Support coverage when required.
Qualifications:
  • Grade 12 plus a recognized post-secondary certificate or diploma in Office Administration or a related field, and a minimum of three years senior administrative support experience.
  • Knowledge of parliamentary procedure, municipal and board governance, relevant legislation, records management, confidentiality, and public service standards.
  • Completion of the LGA Certificate through the University of Regina and the IAPP Certificate through the University of Alberta within 18 months of hire.
  • Strong organization, time management, written and verbal communication skills, sound judgment, integrity, emotional intelligence, and the ability to meet deadlines with minimal supervision.
