Our teams provide security and public safety services across southern Saskatchewan, including site security, mobile patrol, alarm response, bylaw support, special events, fingerprinting, background screening, secure courier, and related services. Behind each contract is planning, costing, proposal work, documentation, client follow-up, and internal coordination.
This position supports the business development work behind those contracts. The Coordinator helps prepare proposals, organize costing information, maintain contract records, and track follow-up so opportunities move forward in a timely and professional way.
With approximately 600 employees working at more than 180 sites across southern Saskatchewan, Commissionaires offers a practical, mission-driven office environment for someone who is organized, comfortable with Microsoft 365, skilled with documents and spreadsheets, and interested in supporting business growth in a public safety organization. This is not a field security position. It supports the systems, records, proposals, and coordination behind effective service delivery.
Reporting to the Director of Business Development & Innovation, this position will help keep business development opportunities organized, support RFP and quotation submissions, maintain accurate records, and coordinate information from Operations, Finance, HR, Training, and Administration.
The position is permanent full-time, Monday through Friday, 8 a.m. to 4 p.m. with a 30-minute unpaid lunch period. The work location is Commissionaires Headquarters at 122 Albert Street, Regina. The successful candidate may be required to travel within Regina and Saskatchewan periodically throughout the year.
Responsibilities:
Support RFP, quotation, and proposal submissions by gathering information, formatting documents, tracking deadlines, and coordinating input from internal departments.
Assist with pricing and costing documents for new and renewing contracts, including assumptions related to labour, supervision, training, equipment, uniforms, vehicles, mileage, travel, and administrative costs.
Review proposal requirements, service outcomes, deliverables, evaluation criteria, and submission instructions to support complete and compliant responses.
Maintain business development tracking tools, including opportunity pipelines, proposal calendars, contract renewal trackers, follow-up lists, pricing sheets, and costing templates.
Maintain organized SharePoint records for proposals, contracts, client records, templates, insurance documents, certifications, references, and supporting documentation.
Support new and renewing service contracts by tracking key dates, renewal timelines, client contacts, contract documents, amendments, and required follow-up.
Maintain working knowledge of Commissionaires’ services, including site security, mobile patrol, alarm response, bylaw support, special events, fingerprinting, background screening, secure courier, and related services.
Support ISO certification, quality management documentation, and compliance materials for proposals, renewals, business cases, and client-facing materials.
Prepare correspondence, meeting notes, internal reports, client communications, recruitment materials, website content, and content for Commissionaires’ approved social media platforms, including Facebook, Linked In, and other approved channels.
Perform other duties as assigned.
Requirements:
Post-secondary education, coursework, or experience in business administration, marketing, communications, office administration, project coordination, or a related field, or an equivalent combination of education and experience.
