Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin

We are seeking an Administrative Support Specialist to provide moderately complex administrative and clerical support to management, ensuring efficient scheduling, travel arrangements, and documentation across the department.
Responsibilities- Provide moderately complex administrative and clerical support to management.
- Manage schedules, appointments, travel, meetings, and conference calls.
- Coordinate interdepartmental activities in the absence of the assigned manager.
- Support all efforts to simplify and enhance the customer experience.
- Prepare, maintain, and process confidential information and correspondence including memos, reports, and proposals with a high degree of accuracy and timeliness.
- Copy and distribute correspondence appropriately.
- Maintain accurate files and records.
- Produce moderately complex reports, graphs, and charts.
- Coordinate travel arrangements for management.
- Prepare and coordinate on/off‑site meetings and events, including hotel arrangements, catering, and audio/visual needs.
- Operate office equipment including fax and copy machine; troubleshoot minor repairs and maintenance.
- Maintain calendar and appointment scheduling for assigned management.
- Sort and distribute incoming mail.
- Execute special or continuous research and moderately complex data analysis when required.
- Perform liaison functions when appropriate.
- Perform additional duties as requested by the supervisor.
- Read, write, speak, and understand English.
- Maintain confidentiality of information.
- Prioritize and organize effectively.
- Type with speed and accuracy.
- Use 10‑key adding machine.
- Use a personal computer and software applications (e.g., word processing, spreadsheet).
- Operate office equipment (computer, telephone, copier, fax, calculator, stapler).
- Basic mathematics.
- General office procedures.
- Assigned business unit’s policies and practices.
High School Diploma or equivalent. College coursework in business or a related field, or equivalent work experience, is desired.
Required Related Work ExperienceAdministrative/Secretarial work experience – 3 years.
Working Conditions- Office environment, moderate noise levels.
- Ability to lift up to 25 lbs.
- Ability to reach with hands and arms, bend, talk and hear, and read and use a computer.
- Ability to work while seated for prolonged periods of time.
