Job SummaryThe Project Administrative Assistant (PA) will assist and support the Project Manager (PM) and Assistant Project Manager (APM). The role includes tracking daily paperwork, timecards, field daily reports and other various forms using Microsoft Excel and other Microsoft programs.
Essential Duties & Responsibilities- Project management & multi‑departmental clerical support (document printing, scanning, copying, label printing, wire label printing, CX packet printing).
- Ensure that timesheets are processed in a timely and error‑free manner.
- Handle new hire orientations and paperwork.
- Process ROF and live checks.
- Process and submit expense reimbursements.
- Gather and submit market recovery documentation to project coordinator.
- Send OFCI equipment delivery reports to GCs.
- Send field daily reports to GCs.
- Order office supplies.
- Plan lunches.
- Assist with document printing, scanning, copying and label printing.
- Assist with CX packet printing.
- Assist with wire label printing.
- HS Degree or equivalent.
- Ability to work in a fast‑paced electrical contracting environment.
- Must be proficient in MS Office Suite.
- Bluebeam Revu experience preferred.
- Vista Viewpoint experience preferred.
- Ability to work well independently and in a team environment.
- Must be able to communicate effectively in written and verbal format.
- Ability to multitask.
The physical demands described here are representative of those that must be met by a Project Admin to successfully perform the essential functions of this job.
The PA is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must be able to lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
WorkEnvironment
Mostly office‑based. Typical working hours for the PA may vary. Generally Monday–Friday during normal business hours, but when deadlines approach they may be required to work much longer hours, including some weekend work.
