Job Overview

The Commissioning & Document Control Administrator is responsible for coordinating, organizing, maintaining, and tracking project commissioning documentation throughout the project lifecycle. This position plays a critical role in supporting commissioning, QA/QC, project management, and field operations teams by ensuring project records, turnover packages, testing documentation, and commissioning deliverables are accurate, complete, and submitted in accordance with project requirements.

Key Responsibilities
  • Manage and maintain project commissioning documentation, turnover packages, and quality records.
  • Organize, track, and distribute project documents using Procore and other document management systems.
  • Maintain document control procedures to ensure proper version control, filing, and document retention.
  • Coordinate the collection and review of commissioning reports, test forms, inspection records, startup documentation, and closeout deliverables.
  • Track document status and follow up with project teams, subcontractors, vendors, and commissioning personnel to obtain required documentation.
  • Support the preparation and assembly of project turnover packages for client submission.
  • Maintain logs for RFIs, submittals, commissioning documentation, punch lists, and project closeout requirements.
  • Verify documentation completeness and accuracy prior to submission.
  • Assist with project mobilization and closeout documentation requirements.
  • Generate reports and status updates related to commissioning progress and document completion.
  • Coordinate with Project Managers, QA/QC personnel, Commissioning Teams, and Field Leadership to ensure project documentation requirements are met.
  • Support audits, inspections, and client reviews by providing requested documentation.
  • Maintain electronic filing systems and ensure documents are organized, accessible, and current.
  • Assist with continuous improvement initiatives related to document management and project controls processes.

Qualifications
  • Experience with Procore required.
  • Knowledge of document control processes, records management, and version control practices.
  • Familiarity with commissioning, QA/QC, construction, and project closeout documentation.
  • Strong organizational and administrative skills.
  • Exceptional attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, particularly Excel, Word, Outlook, and Adobe Acrobat.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Minimum 2-5 years of experience in document control, project administration, commissioning support, QA/QC administration, construction administration, or related field.
  • Experience supporting commercial, industrial, electrical, data center, or mission-critical construction projects preferred.
  • Experience with commissioning documentation, turnover packages, and project closeout processes strongly preferred.
  • Experience with Microsoft SharePoint, Bluebeam, Autodesk Construction Cloud, or similar document management platforms is a plus.
  • Strong understanding of construction documentation workflows and project controls processes preferred.
Physical Requirements
  • Ability to verbally communicate: convey detailed and accurate instructions and information.
  • Ability to hear with or without correction in order to receive and interpret detailed information.
  • Required to sit at a desk work station for long and short periods of time.
  • Push, pull, lift and carry at least 10 pounds.
  • Occasionally required to walk and stand.
  • Required to have visual acuity with or without correction in order to read and interpret contract information and view information on a computer monitor.
  • Required to use fingers and hands: type using a computer keyboard, handle, feel, and reach.
  • May occasionally be required to stoop, kneel, and crouch.
Compensation

Rex Moore pays hourly/salary rates commensurate with each employee’s knowledge, experience and skill level.

Work Environment

Work is performed in an office environment. This position may be required to travel to other office locations.

Rex Moore and affiliated offices are located throughout California and Nevada.
