Administrative Assistant IV
The Administrative Assistant IV will process incoming payments, note the payments in the Maestro system, post the payment in the Maestro system, mail receipt of payment to the payor, log incoming payments on the incoming Check Log on the Mater spreadsheet, refund payments. Notify the DAG of payments received. as well as all other check duties as assigned. The Administrative Assistant IV will evaluate caseload and metrics and monitor cases and payments received by Medicaid Estate Recovery.
Review of reports and caseloads to ensure compliance with federal and/or State laws and contractual requirements. Review Key Performance Indicator (KPI) and monitor reports for Medicaid Estate Recovery. Analyze results, monitor trends, and make recommendations for corrective actions. Evaluate information and prepare reports requiring a thorough analysis of data and make recommendations on a course of action or problem resolution.
The Administrative Assistant IV will oversee and manage the Medicaid Estate Recovery Cases. Identify deceased Medicaid recipients 55 years of age or older with collectable assets at the time of death. Request the Medicaid paid claims from the Merative/DSS system. Processing cases in the Maestro database and sending the necessary correspondence to entities and individuals. After receipt of a case file, determine what assets are available and send the corresponding letters to begin the collection process while adhering to federal and state guidelines.
If expenses are submitted by a third party, determine what is and is not allowable. Act as liaison between unit and DHCFP administration. Coordinate activities with those of other DHCFP units to accomplish MER policy and Division goals and priorities. Process incoming mail for potential assets. Respond to incoming phone calls and emails regarding assigned cases for Medicaid Estate Recovery.
The Administrative Assistant III complies with NVHA Policies and Procedures such as:
Workplace Safety Program, Attendance and work schedule rules, HIPAA regulations, Dress Code, Confidentiality policies, Mandated reporting requirements, Computer and system use agreements. Other Duties as Assigned:
Perform additional duties as assigned by the Program Integrity Chief and/or Administration. Administrative Assistants perform a broad variety of clerical, secretarial and administrative support duties in an assigned agency, program or other work unit within State government and the Nevada System of Higher Education (NSHE). Typical duties include maintaining records and files; composing and editing correspondence; data entry; office management;
budget monitoring and accounts maintenance; typing and word processing; answering telephones and relaying information; reception; duplicating and distributing materials; preparing for meetings and taking minutes; ordering and stocking supplies and equipment; receiving, sorting and delivering mail; reviewing and processing applications, forms and other documents; operating office equipment such as copiers, personal computers, computer terminals, calculators, facsimile machines, printers, and other equipment;
and performing related duties as assigned.
Graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources;
OR one year of experience as an Administrative Assistant III in Nevada State service; OR an equivalent combination of education and experience.
Act as liaison for the administrator regarding agency activities, operations and programs; coordinate communications with other administrators, agency managers, leaders of external entities, community groups and the general public; relay specialized and sensitive information which impacts division programs and activities;…
