As Ainsworth Associates Mechanical Engineers' Bookkeeper/Office Coordinator, you'll play a central role in the daily operation of our firm by supporting financial administration, project teams, office operations, and marketing efforts. Your work creates the organization, consistency, and professionalism that allow our engineers to focus on serving clients and delivering exceptional engineering. Areasof Responsibility
- Maintain the firm's day‑to‑day financial administration, including accounts payable, payroll, employee expenses, accounts receivable, and consultant invoicing.
- Maintain business compliance through coordination of business licensing, certificates of insurance, consultant records, tax administration, and other required documentation.
- Support project delivery through proposal tracking, project setup, database maintenance, and pending project reporting.
- Prepare and format project documents, reports, presentations, and other administrative deliverables.
- Coordinate the daily operation of the office, including equipment, vendors, supplies, communications, and general administrative functions.
- Organize travel, meetings, training activities, and company events.
- Prepare proposals, presentations, reports, and marketing materials that reflect AAME's quality and brand standards.
- Maintain the company's website, social media presence, and other marketing communications while supporting business development initiatives.
- Coordinate employee onboarding, administrative records, consultant documentation, and other business records.
- Maintain organized, accurate, and confidential company files and documentation.
- Create a welcoming, professional experience for clients, visitors, and employees through exceptional communication and office support.
- Help foster a positive, organized workplace that reflects AAME's culture and values.

Compensation and Benefits- Anticipated compensation for this salaried position can range between $52,000 to $67,000 annually, depending on experience, education, etc.
