Job Description

The University of Nevada, Reno is recruiting for a highly organized and detail-oriented Administrative Assistant 3 with the Orvis School of Nursing. This position will support the Associate Dean for Strategic Partnerships and Practice and the Associate Dean for Inclusive Excellence and Belonging. Reporting to the Executive Assistant, this position plays a key role in coordinating operations, faculty appointment processes, community partnerships, engagement initiatives, and fiscal activities that advance the school's mission and strategic priorities.

In this role, you will manage complex calendars and communications; coordinate meetings, committees, programs, and events; prepare correspondence, reports, presentations, and other materials; and arrange travel and process reimbursements. You will serve as an administrative liaison to clinical affiliates, community partners, faculty, staff, students, and other stakeholders, helping to strengthen relationships and support collaborative initiatives across the school and community.

The position supports Clinical Track Faculty appointment and onboarding processes; coordinates outreach, engagement, and professional development activities; and provides administrative support for initiatives, programs, committees, and events that foster inclusive excellence, belonging, student success, and community engagement. Responsibilities also include maintaining records and program materials, assisting with special projects, coordinating communications and event logistics, and processing purchasing, P-Card reconciliations, and other fiscal transactions in accordance with University and NSHE policies.

The successful candidate will be able to manage multiple priorities in a dynamic environment. They will exercise sound judgment, work independently within established guidelines, and handle confidential and sensitive information with professionalism and discretion. The ideal candidate will build positive relationships with diverse internal and external partners, provide exceptional administrative support, and contribute to initiatives that promote collaboration, engagement, and a welcoming environment within the Orvis School of Nursing.

Essential Qualifications

Graduation from high school or equivalent education and three (3) years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities;

OR

One (1) year of experience as an Administrative Assistant II in Nevada State service; OR

An equivalent combination of education and experience as described above.

Preferred Qualifications

Candidates with one or more of the following qualifications are encouraged to apply:

  • Administrative support experience in a professional office setting, including support for hiring, appointment, or onboarding processes for faculty, clinical staff, or professional employees

  • Experience coordinating events, meetings, or committees and preparing related communications, program materials, and reports for varied audiences

  • Experience processing purchases, expense or card reconciliations, travel, or other fiscal transactions within an established policy framework, using enterprise finance or HR systems such as Workday, People Soft, Banner, or similar

  • Demonstrated ability to manage competing priorities independently while handling confidential information with discretion, and to build effective working relationships across departments and with external partners

Schedule

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.

Compensation Grade

Grade 27

In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate's qualifications, internal equity, and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.
