Position Summary
A prominent national technology-focused company is seeking an experienced Senior Executive Assistant / Executive Business Partner to provide high-level administrative, operational, and strategic support to two senior business leaders, with primary support focused on the Managing Partner. This is not a traditional administrative support position. The successful candidate will serve as a trusted confidant and business partner who understands leadership priorities, anticipates needs, protects time, and ensures consistent follow-through across a fast-paced and growing business.
The ideal candidate will be highly proactive, resourceful, discreet, and comfortable operating independently, including when the executives are traveling extensively. This individual will manage complex scheduling, communications, travel planning, meeting and event coordination, business follow-through, and selected personal and family-related support while serving as a key point of contact for internal leaders, clients, partners, and external stakeholders.

Responsibilities:
1. Executive Calendar and Priority Management (25%) Manage a complex and frequently changing executive calendar, including meetings, travel, business commitments, and selected personal priorities. Protect the Managing Partner’s time by evaluating requests, resolving conflicts, and maintaining focus on the highest-priority activities. Coordinate business and family calendars to ensure important commitments are appropriately planned and protected. Develop a strong understanding of executive preferences, business priorities, key clients, and internal stakeholders to effectively manage scheduling and competing demands.
Ensure important emails, calls, commitments, and contractual deadlines receive timely attention and follow-through.2. Travel, Meeting, and Event Coordination (25%) Coordinate complex domestic and occasional international travel, including complete itineraries and related logistics. Ensure executives are fully prepared for travel and meetings with the appropriate materials, background information, presentations, and schedules. Plan and coordinate executive meetings, off-sites, client events, business dinners, and team gatherings. Provide occasional travel support for off-site team meetings or events as needed;
routine travel alongside the executives is not expected.3. Executive Communications and Business Coordination (20%) Monitor executive communications and identify urgent, sensitive, or high-priority matters requiring attention. Gather relevant context, resolve matters independently when appropriate, and present clear recommendations and next steps. Draft and coordinate correspondence, presentations, reports, and other executive materials. Communicate confidently and professionally with C-suite leaders, clients, partners, and external stakeholders while maintaining strong relationships across all levels of the organization.
Maintain strict confidentiality regarding business strategy, contracts, personnel matters, financial information, and personal matters.4. Meeting Preparation and Follow-Through (15%) Prepare agendas, briefing materials, presentations, and supporting documents for internal and external meetings. Attend selected meetings to capture decisions, commitments, and action items. Track deliverables and proactively follow up with stakeholders to ensure timely completion. Help establish systems and processes that improve communication, accountability, organization, and workflow.5. Administrative and Operational Support (15%) Prepare and submit expense reports and complete other executive administrative responsibilities. Support the review and routing of contracts, ensuring appropriate approvals and deadlines are addressed before signature. Provide selected personal and family-related support, including scheduling appointments, coordinating personal travel, and assisting with other logistics that enable the Managing Partner to remain focused while traveling.
