Essential Duties And Responsibilities
- Provide administrative support to Entertainment Team including typing, photocopying, answering multiple phone lines, assisting visitors, payroll, and resolving a range of administrative tasks.
- Ability to be organized and manage time efficiently.
- Prepares all correspondence, contracts, resumes, and maintains all documentation related to daily Entertainment Operations.
- Prepares correspondence, payroll for stage, and nightlife labor, ordering supplies, and maintains all Entertainment documentation related to department efficiencies.
- Ensure client satisfaction and assists in achieving a maximum profit for the hotel and Meeting and Events department.
- Ability to use a personal computer to complete reports, invoices, computer billing, correspondence, etc. This includes a working knowledge of Excel, Outlook, Word, Salesforce, and Microsoft Office Programs (training will be given) and Stratton Warren purchasing software, Unifocus payroll program and any additional programs that are instituted by the Company.
- Assist with Unifocus admin
- Practical experience in an administrative role OR any combination of education, training, or experience that provides the required Technical knowledge, skills, and abilities. Diploma/GED required.
- Keeping accurate tracking of Purchase Orders, labor expenses and preparing various reports as requested.
- Admin department relations for HR, payroll, PAF and maintains training manuals and all client files.
- Shared Entertainment drive management including but not limited to, SOP's, Job descriptions, birthday/anniversaries, rewards and recognition.
- Facility management for office supplies, IT & technology, safety and security.
- Assist if needed with the box office manager and
- Dedicated to meeting and/or exceeding the expectations and requirements of internal and external clients.
- Ability to accurately add, subtract, multiply, and divide in all units of measure and calculate figures and amounts, such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret and follow through on a variety of instructions furnished in written, oral, diagram, or schedule form. Excellent time management, problem solving and organizational skills are a must.
- Assist and support The Executive Director in needed areas.
- Consistently exhibits courteous, respectful, and appropriate communications and presents information in a concise and understandable format.
- Cooperate with others in the accomplishment of joint tasks and common objectives.
- Contributes to a positive work environment, fosters collaboration, and provides a tangible contribution.
- Meet requirements of regular attendance to effectively complete job responsibilities in a timely manner.
