summary description
the warehouse manager position will supervise and coordinate all functions of the district warehouse operations and activities of employees engaged in receiving, storing, order-filling, inventory management, surplus inventory, cycle counting, and shipping/distributing supplies and equipment. The incumbent performs related work as required. This position is part of the business and finance department.
essential duties/responsibilites
operational planning & process improvement
- develops and continually improves procedures to:
- expedite workflows
- achieving maximum warehouse efficiency
- provide excellent customer service to district schools and departments
- organizes effective use of warehouse space for receiving and storing supplies and equipment.
- establishes proper storage and handling procedures.
- implements process improvements to increase efficiency and effectiveness of warehouse operations.
- writes and implements new procedures as needed and continuously updates existing procedures to support ongoing improvement.
- develops and presents an annual department report to the board of trustees.
- establishes, implements, and oversees a regular cycle-counting system to ensure accurate inventory.
- oversees, organizes, and conducts periodic inventory of all warehouse items.
- performs perpetual and periodic inventory; maintains accurate computer-based inventory records.
- works with the purchasing department to set minimum and maximum inventory levels.
- oversees the rotation of stock and monitors inventory levels.
- verifies count and condition of items received; records items with identifying information.
- prepares shortage and damage claims.
- experienced in developing, implementing, and overseeing a cycle-counting program to ensure inventory accuracy.
- accountable for managing inventory to:
- increase inventory turns
- improve inventory accuracy
- maintain high fill rates and on-time delivery
- supervises and assists with receiving and storing shipments from vendors.
- inspecting incoming shipments.
- receives and verifies receiving and requisition orders.
- supervises the filling of requisitioned items from stock.
- prepares and assists in loading items for shipment and delivery.
- expedites special orders and ensures delivery of requested items.
- determines delivery routes and updates routes periodically.
- schedules:
- work shifts
- outbound delivery routes
- inbound deliveries from vendors
- plans, allocates, and directs staff activities involving material-handling equipment such as:
- forklifts
- pallet jacks
- light trucks
- assigns duties and examines work for adherence to policies and procedures.
- interprets district policies to staff and enforces safety regulations.
- interviews, recommends candidates for selection, and trains (or ensures training of) new employees.
- prepares and administers employee evaluations.
- recommends personnel actions including:
- promotions
- advancement training
- discharges
- disciplinary measures
- responsible for personnel time reporting and maintaining personnel records.
- directs employees performing recordkeeping for:
- damaged goods
- inventory
- route and delivery documentation
- item shortages
- vehicle inspections
- verifies and prepares records including routing slips and requisitions.
- communicates regularly with the purchasing department regarding:
- late orders
- out-of-stock items
- damaged items
- investigates and resolves complaints from:
- school personnel
- district personnel
- workers
- vendors
- other concerned parties
- ensures proper maintenance of warehouse tools, equipment, and facilities.
- enforces safety regulations and ensures proper handling of equipment.
- manages the warehouse budget.
- oversees periodic physical inventories in alignment with budget and operational needs.
- accountable for managing overall inventory to:
- increase inventory turns
- increase inventory accuracy
- maintain high fill rates and on-time delivery to customers.
- implements process improvements to enhance efficiency and effectiveness of warehouse operations.
- writes and implements new procedures as necessary; continually updates and improves existing procedures to maintain a continuous cycle of improvement.
education/experience: any combination equivalent to education and experience that could likely provide the required knowledge and skills is qualifying. A typical way to obtain the knowledge and experience would be:
education: high school diploma or equivalent.
experience: three (3) to five (5) years of progressively responsible warehousing, inventory management, or supply management experience, supervisory experience of two (2) years preferred.
