Position Summary

We are looking for an outgoing and highly organized individual to fill our open position of Senior Support Specialist. They will provide administrative support to the POA Leadership Team. The Senior Support Specialist will prepare, input and submit payroll according to the timeline provided by the CSO. Their responsibilities will also be to prepare and input payroll data according to policy, procedure and timelines provided by Proliance Surgeons.

They will also submit invoices to the accounts payable program, reconcile Executive Director and Director of Operation’s company credit card. Monitor, approve, and submit office supply orders. Handle all facets of provider credentialing.

It is a requirement of the position to be a team player, work efficiently and communicate effectively. This position requires the ability to handle delicate, confidential and stressful situations.

Provide administrative support to various departments within the clinic or surgery center. Manage recurring and non-recurring tasks, address requests for assistance, clarify deliverables and deadlines, and keep key leaders informed of progress.

Key Duties and Responsibilities
  • Provide general administrative and clerical support
  • Manage employee and provider credentialing files and communications between facilities
  • Coordinate all managed care credentialing activities to ensure provider participation status
  • Maintain necessary logs, lists, records, and current documentation required for physician/provider credentialing and re-credentialing
  • Maintain Executive Director and Director of Operations business calendars
  • Gather, interpret, and organize data for POA HR, operational, and business development projects
  • Assist in developing agendas and materials for meetings
  • Collect and compile data for various other monthly and quarterly reports as assigned
  • Arrange for, set up and prepare for meetings
  • Prepares and inputs payroll data
  • Manages outgoing & incoming mail
  • Scans invoices and emails to accounts payable
  • Other related duties as assigned.
  • Screen and route incoming calls and emails, ensuring timely responses.
  • Assist in scheduling and organizing meetings, including booking rooms and arranging necessary equipment.
  • Prepare and process expense reports as required.
  • Provide general support to departments, including data entry and document handling.
  • Assist with general office organization, including stocking office supplies and maintaining records as required.
  • Assist with logistics for departmental projects and special initiatives.
  • Route incoming mail, faxes, and packages to appropriate recipients.
  • Assist in the coordination of team events, employee recognition activities, and social functions.
  • Fulfill other duties as assigned by supervisors and department heads.
Education/Experience
  • High School Diploma or the Equivalent
  • 1-2 years relevant experience in public contact, preferably in medical office environment
  • Minimum 1-year front office or reception experience, medical preferred
