Office Administrator/ Coordinator, Clerical
Key Responsibilities
- Document Production and Quality Assurance: compile, format, edit documents, proofread for clarity, accuracy, grammar and institutional standards, integrate charts, tables, figures, and statistical outputs into polished publications.
- Internal Review and Workflow Management: coordinate the internal review process, monitor review mailboxes, distribute materials to reviewers, track deadlines, organize and post consolidated review comments on behalf of the team.
- Operational and Logistical Coordination: manage official travel logistics and expense reports, support the planning and delivery of seminars, workshops and conferences at Headquarters and overseas, arrange venues, catering, materials and participant support, maintain an accurate, well‑organized electronic filing system and retrieve documents from internal repositories.
- Communication and Scheduling: manage complex calendars, schedule meetings, coordinate communications within the Fund and with officials from member countries, disseminate and reinforce administrative policies and procedures across the division.
- Technical and Systems Support: provide first‑line support to colleagues for Fund systems and office technologies, troubleshoot basic issues and guide staff through system processes.
- Bachelor’s degree or a high school diploma with at least two years of relevant experience.
- 2–5 years of administrative coordination experience strongly encouraged.
- Strong written and verbal communication skills.
- Exceptional English proofreading and document formatting ability, including working with style guides.
- Outstanding organizational skills and the ability to manage multiple priorities.
- Initiative, resourcefulness and the ability to work with minimal supervision.
- High accuracy and attention to detail in fast‑paced, deadline‑driven settings.
- Proficiency in Microsoft Office applications and a willingness to learn evolving technologies.
- Native speaker of Arabic, Chinese, French, Portuguese, Russian, or Spanish preferred.
Only candidates who are currently residing in the Washington DC metro area will be considered.
Applicants must pass the online Administrative Coordinator assessment. If the application meets the minimum qualifications and the assessment has not been taken within the past 12 months, a link to the assessment will be provided. The assessment includes scenario‑based multiple‑choice questions, a MS Word simulation and Windows tasks, and normally takes approximately 50 minutes. Successful candidates may be invited to a preliminary interview and may enter the active candidate pipeline.
Hiring managers across the Fund may invite candidates to interview for open roles for a period of six months after entering the pipeline.
Selected candidates typically receive a contractual appointment, renewable for up to four years of cumulative contractual service, pending incumbent performance, budget availability and continuous business needs.
