Job Overview

The Ambulatory Education & Training Specialist, in collaboration with and under of department leadership will provide educational and training services to the Ambulatory Front Office and PRC roles. The specialist will assist leadership with developing and overseeing new employee orientation and onboarding, education programs. Responsibilities include monitoring staff performance and establishing ongoing training for the implementation of new workflows, guidelines, policies and procedures.

The specialist will provide valuable feedback to clinic leadership on observations of quality, performance, and compliance with policies and procedures while identifying areas that require further training and education.

Responsibilities
  • Training Role - To provide learning opportunities and to facilitate the adult learning process.
  • Responsible for onboarding and orientation of new front office employees (Patient Service Reps, Patient Resource Reps, Patient Access Associates), including the use of systems (i.e., Epic) needed to perform in their role and setting.
  • Assesses learning needs to assist in developing/delivering/implementing training, education, and targeted support to staff as applicable.
  • Provide for the evaluation of the appropriateness and effectiveness of training resources and facilities as a component of educational activities.
  • Ensures employee competency through ongoing support, auditing and annual refreshers or remediation activities surrounding identified opportunities for improvement, from initiation through completion, in collaboration with Operations Leadership and Clinical Leadership teams.
  • Creates training documents and materials, partnering with other Subject Matter Experts (SMEs) as appropriate.
  • Conducts on-site training activities with staff and providers to support clinical operational functions.
  • Educator Role - To support the management of the educational experience.
  • Lead and participate in quality efforts to promote clinical safety, standardization and evidence-based practices within ambulatory clinic network.
  • Lead and collaborate with interdisciplinary teams to identify and develop strategies, metrics and processes to improve quality of care and safety.
  • Assess operational workflows; identify and implement best practices that promote standardization throughout the organization.
  • Assist in the implementation of new systems and workflows by:
    • Identifying staff training needs and developing content needed for implementation.
    • Assisting the development or revision of policies and procedures to support implementation.
  • Collaborate with Clinic Network leaders to facilitate staff training schedules.
  • Participate in departmental process improvement projects, compliance audits and quality monitors.
  • Responsible for developing, implementing and compliance with all Valley's ambulatory clinic network policies and procedures.
  • Collaborate with Clinic Manager to ensure Occupational Safety and Health Administration (OSHA), Department of Health (DOH), Joint commission compliance.
  • Ensure that educational activities are congruent with the VMC's Mission, Vision, Values, and Goals and are based upon identified needs.
  • Serve as a resource to employees, leaders, and business partners.
  • Serve as subject matter expert (SME) on various committees and or work groups.
  • Maintain a record-keeping and report process for education and training.
  • Maintain confidentiality within legal and regulatory parameters for all training situations.
  • Work with the Clinic leadership to maintain a continued state of readiness for all regulatory requirements.
  • Maintain a solid understanding of regulatory requirements.
Prerequisites
  • Ambulatory Education & Training Specialist I:
    Associate's degree in education, Adult Learning and/or Instructional Design or another closely related field required. Two (2) years relevant experience may substitute degree requirement. Two (2) years' experience teaching adults, preferably in a healthcare setting preferred.
  • Ambulatory Education & Training Specialist II:
    Bachelor's degree in education, Adult Learning and/or Instructional Design or another closely related field required. Four (4) years relevant experience may substitute degree requirement. Two (2) years' experience teaching adults, preferably in a healthcare setting required.
Qualifications
  • Knowledge of adult learning principles, ability to design and develop curriculum, and ability to use the change process appropriately; ability to educate and adapt to various learning styles while using various teaching methodologies.
  • Understands the importance of using the implementation process for training Clinic Network initiatives, e.g., CPG's, Patient Safety, Quality, National Patient Safety Goals.
