Administrative Assistant (Executive Support)
Location:
Reston, VA
Pay: $32 - $35 per hour
Job Type: Full-Time, Contract-to-Hire
Work Location:
Hybrid (2–3 days per week onsite)
Our company is seeking a highly organized and proactive Administrative Assistant to support executives within the Product and Technology organization. This role reports to the Director of Business Operations and requires strong organizational, communication, and multitasking skills in a fast-paced environment.
ResponsibilitiesExecutive Calendar & Priority Management
- Manage and optimize executive calendars aligned with business priorities
- Anticipate scheduling conflicts and coordinate solutions proactively
- Coordinate complex scheduling across multiple stakeholders and time zones
- Ensure executives are prepared with meeting materials and relevant context
Travel & Expense Operations
- Coordinate domestic and international travel arrangements
- Prepare, track, and submit expense reports accurately and on time
- Monitor travel and expense budgets and identify variances as needed
Communications & Operational Support
- Draft and refine internal communications using productivity and AI-assisted tools
- Support executive presentations, meeting materials, and organizational communications
- Identify opportunities to improve workflows and operational efficiency
Budget, User, and Project Tracking
- Track budgets, resource utilization, and project-related data
- Maintain project tracking documentation and timelines
- Provide updates regarding project progress, risks, and dependencies
Cross-Executive & Team Support
- Provide administrative support across Product and Technology leadership teams
- Support meetings, offsite events, and organizational initiatives
- Assist with special projects and additional administrative responsibilities as needed
- Previous administrative or executive support experience required
- Strong organizational and time management skills
- Experience managing complex calendars and scheduling
- Experience coordinating travel arrangements and expense reporting
- Strong written and verbal communication skills
- Ability to manage multiple priorities in a fast-paced environment
- High level of professionalism, discretion, and attention to detail
- Proficiency with Microsoft Office applications
- Associate’s or Bachelor’s degree preferred
