Job OverviewThe Office Manager supports the day‑to‑day operations of the office, ensuring operational efficiency. This office accommodates several Senior Executives, including the company President, Chief Legal Officer and Chief Financial Officers. This position is responsible for completing office projects and/or tasks as needed, including supporting the agendas/meetings associated with the corporate responsibilities of our Executive Leadership Team (ELT).
The Office Manager exercises sound judgment, maintains strict confidentiality, and manages priorities while delivering exceptional service to executive leaders, internal stakeholders, and external visitors.

ResponsibilitiesEssential
Job Duties:
- Supports ELT with tasks associated with corporate sponsored events, as needed.
- Meets and greets visitors; processes required badging and other security activities.
- Manages office projects or tasks with minimal oversight, setting priorities and determining the best approach to achieve objectives, either independently or as part of a team.
- Processes general office supply procurement activity, analyzing cost efficiencies to recommend cost‑saving initiatives.
- Coordinates office maintenance activities by identifying facility and building system needs, scheduling repairs, and tracking completion.
- Develops and implements office policies, procedures, and workflows to improve operational efficiency.
- Manages and orders office supplies to maintain consistent operational effectiveness.
- Serves as a liaison between the organization and external service providers, ensuring vendor files and contact information remain updated.
- May support ELT in setting up and recording/transcribing meetings.
- Performs additional duties and special projects as assigned in support of ELT and other corporate operations.
Key Responsibilities:
- Provide comprehensive administrative support to ELT, including coordinating travel arrangements, scheduling meetings, organizing site visits, and managing executive calendars as assigned.
- Collaborate effectively across departments to support corporate initiatives.
Mandatory:
- 6 years of progressively responsible administrative or office management experience.
- Minimum of 5 years supporting senior executives or executive leadership teams in a corporate environment.
- Demonstrated experience managing multiple priorities while maintaining exceptional attention to detail and organizational effectiveness.
- Advanced proficiency with Microsoft 365 applications, including Outlook, Excel, PowerPoint, Teams, and SharePoint.
- Experience using Adobe Acrobat or similar digital signature/document management software.
- Strong written and verbal communication skills with the ability to interact professionally with executives, employees, customers, vendors, and other stakeholders.
