Job DescriptionOur client is seeking an Office Administrative Associate to serve as the first point of contact for patients, healthcare providers, donors, and visitors. This role supports both the Operations and Development teams through office administration, donor support, membership services, data management, and event coordination. The ideal candidate is empathetic, detail-oriented, proactive, and enjoys providing exceptional customer service in a mission-driven environment.
Key Responsibilities- Serve as the first point of contact by answering incoming phone calls from patients, donors, and healthcare professionals.
- Provide administrative support for office operations and special projects.
- Assist with donor development initiatives and fundraising projects.
- Support membership services, including new member packets and member inquiries.
- Perform data entry and database maintenance within Salesforce.
- Coordinate event mailings, shipments, and office logistics.
- Process incoming donations and distribute financial documentation internally.
- Assist with office organization and general administrative support.
- Collaborate with team members on organizational projects and initiatives.
- Lift and move office supplies and event materials up to 25 pounds as needed.
- 1-2 years of administrative experience in a professional office environment.
- Fundraising, philanthropy, or nonprofit experience preferred (including volunteer leadership, fraternity/sorority fundraising, or development support).
- Excellent customer service and phone communication skills.
- Experience with Microsoft 365, SharePoint, and CRM systems (Salesforce preferred).
- Highly organized with exceptional attention to detail.
- Compassionate and empathetic while maintaining professional boundaries.
- Self-starter who proactively identifies ways to help during slower periods.
- Comfortable learning new technology and software.
- Degree not required.
- Immediate opening due to the current contractor returning to school.
- Reports to the Operations and Office Management team.
- Small, collaborative office environment.
- Contract assignment expected to run through the end of the year.
- Two-step interview process (Zoom followed by onsite interview).
- Candidates must be comfortable speaking with patients experiencing sensitive medical situations.
