Event Operations & Marketing Coordinator
We are seeking an Event Operations & Marketing Coordinator to manage and support internal and external events. In this role, you will develop comprehensive event plans, manage budgets, coordinate vendors, and oversee attendee registration and communications. Additionally, you will handle critical administrative and financial workflows—including procurement (PR/PO requests), invoice processing, and tracking event metrics. You will also maintain the master annual event calendar and assist with the day-to-day management of the brand store.
Responsibilities- Provide support for, and/or manage, both internal and external events including marketing, operational, tactical, and analytical support.
- Coordinate internal processes and procedures for department approvals, procurement processes, budget management, project management and vendor management.
- Develop event plans, including budgets, roles and responsibilities, timelines, and event specifications. Work with event team and internal partners to determine objectives and requirements.
- Coordinate with vendors and suppliers to ensure all event details are in place.
- Manage event registration and attendee communications.
- Collaborate with marketing team to execute and implement event marketing strategies.
- Conduct post-event evaluations.
- Stay up to date with industry trends and best practices in event management.
- Assist in managing the brand store.
- Review and analyze event metrics, maintain master annual event schedule/calendar and miscellaneous event plans and reporting.
- Assist department with PR/PO requests, vendor invoice processing, Pcard reconciliations, JIRA requirements, and ARB and SPRAT processing.
- 4 Year Bachelor's Degree or equivalent work experience.
- 5+ years of event planning and management experience.
- Experience managing RFPs and venue/hotel contracts preferred.
- Proficient in MS Office Suite, particularly PowerPoint and Excel.
- May require travel up to 20%, provides onsite event support as needed.
- Excellent communication, collaboration and consensus-building skills.
- Ability to work with cross-functional teams and executive leadership.
- This position is based in our Reston, VA office and offers a hybrid work schedule.
