DescriptionWe are excited to welcome a Full-Time Front Desk Operations Manager to our fast-paced, outpatient medical imaging center equipped with state-of-the-art technology.

As a hands-on leader, the Front Desk Operations Manager will manage and mentor a team of front office representatives while you hold primary accountability for front office operations, ensuring seamless patient registration, highly precise demographic and insurance entry, order processing, estimations and time-of-service collections. This manager will navigate patient complaints, complex scheduling conflicts, and referring physician requests with professionalism, efficiency, and a solution-oriented mindset.
Key Responsibilities Team Leadership & Personnel Management- Supervise, mentor, and schedule a team of Front Desk Patient Representatives, to ensure full operational coverage across day and evening shifts.
- Cultivate a collaborative, positive workplace culture between the administrative front office and the back-office clinical team (MAs, MRI Technologists and Radiologists).
- Optimize daily throughput for 5 high-field MRI magnets, managing complex scheduling algorithms to balance routine scans, arthrograms, and contrast studies while minimizing scan gaps.
- Oversee and ensure compliance with patient intake procedures and protocols related to order entry, registering, scheduling, estimating, time-of-service collections, quality check-ins, ensuring all necessary forms and mandatory MRI safety screening questionnaires are completed quickly and accurately.
- Serve as the primary Liaison and escalation point for patient complaints, complex scheduling conflicts, and referring physician/provider office requests.
- Manage the prior authorization pipeline, ensuring the team verifies CPT/ICD-10 codes, medical necessity, and run correct eligibility and estimations. Work with pre-authorization team prior to the patient’s exam.
- Implement strict quality controls on insurance card and , order entry, data entry, and demographic collection to eliminate front-end billing rejections.
- Supervise time-of-service collections, including co-pays, deductibles, and self-pay pricing structures. Accountable for daily cash drawers and end-of-day financial balancing.
- Maintain strong relationships with our specialty referral practice providers.
- Coordinate the rapid delivery of imaging reports and discs (or PACS portal access) to referring offices, guaranteeing swift turnaround times.
The ideal candidate has strong leadership roots in healthcare or outpatient radiology setting, excellent knowledge of diagnostic guidelines, and a knack for driving operational efficiency.

Position Requirements Qualifications- Minimum of 5 years of experience within healthcare working in a medical front desk capacity as a medical receptionist, patient coordinator or in a patient access role.
- Minimum of 3 - 5 years of supervisory or management experience specifically supervising front desk or patient access areas within a high-volume outpatient medical specialty practice supervising at least 5 or more employees. Experience in an outpatient medical imaging/radiology setting preferred.
- Knowledge:
Deep familiarity with outpatient radiology workflows, CPT codes for MRI and understanding or pre-authorization. of medical terminology and experience with EMR systems preferred - Software:
