Job DescriptionCRFS is seeking a Sales Office Administrator who will report to the US Sales Operations Director on the US Sales team. The successful candidate will serve as the operational backbone of the US admin function—managing order processing, CRM administration, and customer communications—to ensure a seamless sales process and high customer satisfaction.
Role and Responsibilities- Order Processing:
Receive and accurately process sales orders via email or phone, ensuring data integrity and timely fulfillment. - Invoicing and Documentation:
Generate and send invoices to end customers, verify data accuracy and maintain up‑to‑date customer records. - Portal Management and Document Control:
Operate, update, and manage user access on company web portals and track electronic or paper forms. - Sales Team and Customer Support:
Provide inside sales support, acting as liaison between sales representatives, customers, and logistics partners. - CRM Management:
Maintain and update CRM records; follow up with new contacts, reactivate cold contacts; support lead generation and conversion initiatives using data analytics. - Logistics Coordination:
Primary contact for shipping and logistics to ensure timely and accurate delivery. - Trade Show and Event Support:
Assist with preparation and coordination for CRFS activities at trade shows and industry conferences. - Post‑Sale Support:
Handle post‑sale inquiries, returns, and warranty issues; maintain high customer satisfaction. - Travel Requirement:
Occasional domestic travel up to 10% to support trade shows and customer meetings.
- High school diploma (minimum).
- 1–3 years of experience in sales support, customer service, or an administrative role.
- Proficiency in CRM platforms (Salesforce, Hub Spot, or equivalent) and Microsoft Office Suite (Excel, PowerPoint, Word).
- Excellent verbal and written communication; strong organizational skills; ability to manage multiple tasks simultaneously.
- High attention to detail and data accuracy in order management and record‑keeping.

- Bachelor’s degree in Business Administration, Communications, or related field.
- Experience supporting B2B or technology sales teams, especially in technical or government‑adjacent industry.
- Familiarity with Salesforce or Hub Spot CRM platforms and using data analytics to support sales reporting or pipeline management.
- Experience coordinating logistics or working with shipping/freight partners; familiarity with trade show or event coordination.
Standard office environment at CRFS’s US headquarters in Reston, VA, on a hybrid schedule. Primarily sedentary role; extended periods of computer use. Must remain in a stationary position for extended periods and occasionally move within the office. May require occasional lifting and carrying items up to 20 lbs.; operate standard office equipment; coordinate and receive incoming shipments.
