About the Position
We are looking for a warm, dependable, and organized individual to join our counseling office as a Front Desk Receptionist. The front desk is often the first point of contact for our clients, so we are looking for someone who can create a welcoming, professional, and comfortable experience for everyone who walks through our doors.
This position is ideal for someone who enjoys working with people, is naturally organized, communicates well, and can confidently manage multiple tasks while maintaining a calm and compassionate demeanor.
Responsibilities- Greet clients warmly and professionally as they arrive
- Answer incoming phone calls, respond to messages, and direct calls appropriately
- Schedule, reschedule, and confirm client appointments
- Assist clients with questions regarding appointments, paperwork, and office procedures
- Check clients in and out and collect payments when needed
- Maintain accurate client and appointment information in our electronic system
- Communicate with therapists and office staff regarding scheduling and client needs
- Monitor the front desk, waiting area, and general office environment
- Assist with administrative tasks such as scanning, filing, copying, and organizing documents
- Help keep the office clean, organized, and welcoming
- Handle sensitive and confidential information with discretion and professionalism
- Follow office policies and procedures regarding client privacy and confidentiality
Assist with other administrative duties as needed

- Reliable and dependable
- Comfortable answering phones and communicating with a variety of people
- Ability to maintain strict confidentiality and abide by HIPPA standards
- Professional and calm demeanor, especially when handling difficult or sensitive situations
- Comfortable learning and using computer systems and office software
- Previous receptionist, administrative, medical, or customer-service experience is a plus, but not required
The right person for this position will be someone who genuinely enjoys helping people. Our clients may be coming into the office during difficult or stressful periods in their lives, and we want our front desk to be a place where they feel welcomed, respected, and cared for.
