Position: Receptionist / Medical Records Clerk

Position:
Receptionist / Medical Records Coordinator

Full‑time. Monday to Friday. 8 AM to 4:30 PM. $19/hour.

Receptionist Duties
  • Provide exceptional customer service by greeting all visitors and guests in a friendly and professional manner.
  • Operate multi‑line phone and paging systems, efficiently routing calls to the appropriate party.
  • Assist in scheduling staff to ensure resident needs and compliance with federal, state, and local regulations.
  • Maintain accurate monthly and daily staffing records, ensuring they are completed in a timely manner.
  • Secure shift coverage for open positions, vacation requests, call‑offs, and vacancies.
  • Maintain resident trust fund accounts, ensuring accuracy and confidentiality.
  • Handle sensitive information regarding residents and facility matters with professionalism and discretion.
  • Assist with various administrative tasks, including document scanning, accounts payable (AP), and scheduling care conferences.
  • Perform various office duties such as assisting with mailings and relaying messages.
Medical Records Responsibilities
  • Maintain medical records in accordance with state, federal, and facility policies.
  • Collect, organize, and file documents, correspondence, and printed materials.
  • Ensure the confidentiality and integrity of all resident medical information.
  • Support the Office Manager with Accounts Receivable (A/R), billing, and other resident account functions as needed.
  • Perform other administrative and clerical duties as assigned.
Qualifications
  • High school diploma or equivalent required.
  • Previous experience in a healthcare or skilled nursing facility preferred.
  • Strong customer service, communication, and interpersonal skills.
  • Skilled in Microsoft Office Suite (Word, Excel, Outlook).
  • Highly organized with the ability to manage multiple tasks and deadlines.
  • Detail‑oriented, professional, and dependable.
  • Ability to maintain strict confidentiality in all matters related to residents and facility operations.
