Position Overview

Generational Group is seeking a driven, detail-oriented professional to support sales operations and administrative coordination within a dynamic M&A environment. The Executive Service Associate provides essential administrative and operational support for the day-to-day functioning of the Sales department, with a strong emphasis on accuracy, follow-through, and confidentiality. The ideal candidate combines strong organizational, project-coordination skills, and excellent communication abilities with the ability to manage several concurrent work streams in a fast-moving environment.

Key Responsibilities

  • Serve as the point of contact for incoming client documentation received via Fed Ex, UPS, mail, and email, and organize materials into client files.
  • Review client financial documentation to determine whether an engagement should proceed as submitted or be routed for additional review.
  • Process client payments.
  • Manage and distribute weekly sales reports.
  • Manage invoicing and collections for outstanding or partial payments.
  • Maintain accurate, high-volume data entry for new clients, payments, and case notes.
  • Maintain and update the client intake log.
  • Distribute W-9 forms upon request.
  • Prepare and distribute weekly Final Conference Reports.
  • Support preparation of materials for ACG (Association for Corporate Growth) events.
  • Maintain professional written and verbal communication in all internal and external interactions.
  • Support multiple ongoing projects while meeting deadlines.

Necessary Skills & Attributes

  • Strong organizational skills and attention to detail, particularly when performing high-volume data entry.
  • Comfort with light accounting tasks, including payment processing and invoicing.
  • Ability to work independently and manage multiple competing/shifting priorities.
  • Sound judgment, problem-solving ability, and decisiveness.
  • Ability to maintain composure and perform well under pressure.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office, specifically Excel and Word.

Qualifications

  • Associate or bachelor’s degree, or equivalent professional experience.
  • Prior experience in an administrative, sales support, or operations coordination role.
  • Demonstrated experience with high-volume data entry and organized document management.
  • Basic accounting or bookkeeping experience, such as processing payments or managing invoicing, is preferred.
  • Strong proficiency in Microsoft Excel and Word.
