The Engineering Administrative Assistant provides dedicated, high-level support to the Senior Director of Engineering, acting as a strategic partner in helping manage priorities, communications, and operational execution. This role requires exceptional judgment, discretion, and the ability to operate proactively in a fast-paced, highly technical environment. The ideal candidate excels at managing complexity, anticipating needs, and enabling the engineering leaders to focus on critical business objectives.
Responsibilities- Manage highly dynamic and complex calendars to align business priorities, including scheduling for the Field Service Department
- Manage travel arrangements, expense reports, and procurement requests
- Support execution of key engineering initiatives by tracking priorities, deliverables, and deadlines
- Coordinate leadership team meetings, staff meetings, and offsites (agenda development, materials, notes, action tracking) for the Engineering Department
- Drive follow-ups on action items and ensure alignment across Engineering leadership
- Assist with headcount tracking, and quarterly/annual planning cycles
- Handle sensitive and confidential information with the utmost discretion
- Coordinate cross-functional meetings and ensure clear communication and follow-through
- Assist in preparing materials for business reviews, leadership updates, customer visits, etc.
- Assist in analyzing basic data and synthesizing information for leadership decision-making
- Track budgets, expenses, and resource allocation in partnership with finance teams

- It is the responsibility of every employee to report to their manager or a member of senior management any quality problems or defects in order for corrective action to be implemented and to avoid recurrence of the problem
- Duties may be modified or assigned at any time to meet the needs of the business
- Bachelor’s degree preferred, or equivalent experience in lieu of degree
- 2+ years of executive or senior administrative support experience, including support for Director-level or higher
- Experience working in engineering, technology, or other technical environments
- Advanced proficiency in Microsoft Office (Excel, PowerPoint, Outlook, Word)
- Demonstrated ability to manage complex schedules, priorities, and high volumes of information
