Job Summary

Under the general direction of the Assistant Director of Education Abroad and exercising independent judgement and authority within their job, the International Education Advisor is responsible for managing a portfolio of faculty-led education abroad programs through their full life cycle from the program proposal stage to the collection of program evaluations.

Minimum Education and Experience

Bachelor's degree and 3 years of experience, or the equivalent combination of education and experience. Previous experience studying abroad.

* Master's degree

* Proficiency in a foreign language

* Working knowledge of Terra Dotta

* Experience working with college/university faculty members or VIP clients/customers

* Experience in budget development and management

* Experience working in the development of faculty-led education abroad programs

To the extent this position requires the holder to research, work on, or have access to critical infrastructure as defined in Section 117.001(2) of the Texas Business and Commerce Code, the ability to maintain the security or integrity of the critical infrastructure is a minimum qualification to be hired and to continue to be employed in the position.

Essential Duties and Responsibilities

* Works closely and collaboratively with faculty member(s), to facilitate, develop, and finalize individualized custom program proposals, including, but not limited to: budgets, logistics, housing, transportation, health and safety requirements, excursions, and curriculum.

Facilitates and prepares, with faculty member(s), the development and maintenance of a program budget and associated course fee(s), prepares disbursements, proposals, recommendations, and approvals where appropriate, and ensures adherence to and control of budget items.

* Requests bids from providers, facilitates contract negotiations with identified vendor(s); prepares all applicable contracts for each program to ensure achievement of stated outcomes and requirements. Acts as primary contact between third-party vendors and faculty; reviews providers' bid responses to provide guidance/recommendations to faculty, identifying differences that may enhance the program from both a content and expense perspective.

* Plans, prepares, launches and administers associated web brochure(s) to promote program including descriptive information, cost, program length/timing and application process.

* programs in various countries as assigned. Actively contribute to the annual proposal cycle and program reviews.

* Working in conjunction with faculty, facilitates promotion of programs, holds informational sessions, creates flyers for programs; assists in the planning of OIE events throughout the year to increase awareness and promote program opportunities to students, faculty, and colleges.

* Working with faculty, coordinates, organizes and delivers pre-departure orientations for students, both in person and virtually; monitors virtual pre-departure orientation required for all students.

* Advises students on program specifics, funding options, and application process; performs follow up as needed to ensure students have the opportunity to complete process; withdraws students as requested.

* Performs other duties and special projects as assigned by supervisor

* Develop marketing materials and presentations, Manage online portal

* Supervise student workers

* Serves as a back-up for passport office as needed

* Other duties as assigned

Physical Demands and Working Conditions

Standard office environment with extended desk-based time using computers /design software. Position requires travel between different offices on campus for meetings and events.

Occasionally may need to lift up to 20lbs.
