Position: ARTIST & EVENT SERVICES MANAGER

JOB SUMMARY

Under direction of Community Engagement Manager, coordinate assigned events and activities scheduled at the Eisemann Center. Disseminate event details to front‑of‑house staff, technical staff, and custodial staff. Manage part‑time Artist Services Assistant staff. Perform other related work as required.

ESSENTIAL JOB FUNCTIONS

Manage information and details for Eisemann Center Presents, City of Richardson (sponsored and departmental), and Miss Texas events and activities taking place in the Center’s three (3) principal venues: the 1,608‑seat Hill Performance Hall; the 415‑seat Bank of America Theatre; and the 3,150 sq. ft. Bank of America Hall. Prior to the execution of all events, assure that information is received from the artist and/or event producer and distributed to the appropriate Eisemann Center staff, including all times associated with an event (show start, intermission, show end, artist and/or event producer arrival/departure, technicians’ arrival/departure);

number of performers, travel/hotel/local ground transportation arrangements and information for artists; caterer information, insurance information, parking arrangements; facilitating the advance of as much technical and set‑up information as can be ascertained prior to the artist and/or event producer’s arrival; and all contact information necessary for each aspect of the event. Once an event has been scheduled, function as the liaison for the artist and/or event producer and communicate any additional needs or changes they have to the appropriate Eisemann Center staff, especially the Technical/Operations Manager.

Assist the Executive Director in monitoring status of artists and/or event producers’ deadlines: contract executed; payments made; and invoicing/settlement information prepared. On event days, serve as primary, confidential point of contact for artists and/or event producers while they are onsite, and delegate/oversee artist services duties to Artist Services Assistant staff as needed and appropriate. Attend weekly operations meetings. Maintain event files.

Communicate courteously and effectively with other employees, officials, vendors, contractors, user groups, and (especially) the public. Manage part‑time Artist Services Assistant staff and contractors as needed. Use personal computer for word processing and data manipulation, using a variety of software, especially EC’s scheduling software (EMS). Assist Community Engagement Manager with additional duties as assigned. Work evenings and weekends. Serve as Manager On Duty (MOD) for various facility events when assigned.

JOB FUNCTIONS

May transport artists to/from Eisemann Center for outreach, promotional appearances and/or airport transfers. May provide coverage and/or assistance to other Event Service Managers in the department, as available and/or as assigned.

REQUIRED EDUCATION, DEGREES, CERTIFICATES AND/OR LICENSES

BA or BFA degree in Theatre, Arts, Music, Business, Administration, or 4‑year college degree in other field related to position strongly preferred; extensive experience may be allowable substitute for Bachelor’s degree. Valid Texas driver’s license, class C required.

EXPERIENCE, TRAINING, KNOWLEDGE, AND SKILLS

Minimum of three years of experience required as arts administrator, house manager, event coordinator, facility operations manager, patron services manager, meeting planner, volunteer coordinator, or equivalent combination (for total of three years of experience). Must have knowledge and ability to facilitate special needs of artists, touring personnel, corporate users, meeting planners, and performing arts organizations. Must be very detail oriented. Must have computer literacy in word processing and data manipulation software.

Knowledge of theatrical and/or performing arts operations heavily preferred. Must be able to analyze statistical data and information for reporting purposes. Must be able to maintain confidentiality. Must have excellent verbal and written communication skills, and ability to work with the public. Must be skilled in coordination, negotiation, and community interaction. Must be able to work effectively in team environment, and supervise support staff.

Must be self‑starter and able to work effectively without constant close supervision.

WORKING CONDITIONS AND

PHYSICAL REQUIREMENTS

Stand and walk throughout building for extended periods of time in performance of duties. Must be able to lift and/or carry up to 30 pounds of supplies and/or equipment frequently.
