Job Overview
Ebenezer is looking for a Receptionist to join our senior condo team at Lake Shore Drive Condominiums in Richfield, MN. This position serves as the main Receptionist for the building and assists in providing clerical and administrative support.
This front desk schedule includes:
- 30 hours every two weeks
- Part time, evening shifts
- Monday, Tuesday, and Wednesday from 3:00 PM to 8:00 PM
- Weekends as needed
- Serve as the main Receptionist for the building
- Greet and provide courteous assistance to visitors, residents, and vendors
- Answer the telephone, take accurate messages, and ensure delivery of messages to appropriate persons
- Maintain workspace in a clean and orderly way to create the best first impression for customers
- Schedule reservations for party rooms, guest rooms, etc., complete room set‑up, and process billing (if applicable)
- Open and close the Business Office by properly securing all files, keys, and equipment (if applicable)
- Maintain office equipment and order office supplies
- Respond to resident e‑mails, voicemails, questions, and concerns promptly
- Perform clerical support as requested, including typing memos, minutes of meetings, letters, etc.
- Copy, collate, and file documents
- Assist in organizing work orders by filling out, billing, and filing maintenance work orders, and entering member’s work orders in maintenance software if applicable
- Assemble packets for monthly Board and annual membership meetings if applicable
- Sort mail and assist with mailings
- Assist with newsletters/posts if applicable
- Coordinate events in common area spaces if applicable
- Respond to medical, fire, maintenance, and security emergencies per building policy if applicable
- Assist the Assistant Property Manager with projects as requested
- One to three years of prior experience
- Ability to use technology such as computers, handheld devices, cell phones, fax machines
- Working knowledge of Microsoft Office, Excel, and Word
- Enjoy working with the senior population
- Ability to respond to emergency situations and manage private resident issues with dignity and respect
- Associate of Arts or vocational/technical training or Associate Degree
- Three to five years of prior experience
