Job Duties/Scope Of Work
This position provides high‑level administrative support directly to the VP I&SS, IS&L, and Engineering & Projects. Responsibilities include managing executive schedules, coordinating high‑stakes meetings, handling sensitive correspondence, and performing a variety of tasks to facilitate the executive's ability to effectively lead the organizations.
- Manages the executive’s calendar, including scheduling meetings, appointments, and complex travel arrangements, ensuring efficient time management.
- Prepares and edits high‑level correspondence, communications, presentations, and other documents intended for internal and external stakeholders.
- Coordinates I&SS, IS&L, and Engineering & Projects meetings and events, including preparing detailed agendas, arranging logistics, and documenting minutes.
- Maintains confidential filing systems, both electronic and physical, ensuring organization and accessibility.
- Assists in the preparation and management of strategic reports and executive presentations.
- Monitors and orders office supplies, ensuring the executive office is well‑equipped.
- Acts as a liaison between the executive and other staff, external partners, and stakeholders.
- Handles confidential information with the utmost discretion and professionalism.
- Supports the executives in various strategic projects and tasks as needed.
- Ensures adherence to safety and health regulations and policies.
- Promotes a safe and efficient work environment.
- Supports operations and engineering initiatives and practices.
- High School diploma or GED, plus a minimum of ten (10) years of administrative experience.
- Knowledge of executive administrative procedures and systems, including managing high‑level files and records and understanding executive office procedures and terminology.
- Knowledge of principles and processes for providing high‑level customer and personal services.
- Superior communication skills to convey complex information effectively and efficiently.
- Expertise in managing one's own time and the time of the executive efficiently.
- Proactively adjusts actions in relation to the executive's needs and organizational priorities.
- Exceptional ability to focus on details of a task to ensure accuracy and quality.
- Acute ability to recognize potential issues and address them proactively.
- Proficiency in handling multiple high‑priority tasks simultaneously and prioritizing effectively.
- Ability to obtain and maintain a Personal Identity Verification (PIV) Credential badge.
- Proficiency in Microsoft Office Suite — Skilled in using software such as Word, Excel, PowerPoint, and Outlook for various administrative tasks.
- AA Degree or higher.
Grade 7: $60,135 – $75,813
Grade 8: $66,150 – $83,450
