Position: Administrative Assistant (40681)

Job Duties/Scope Of Work

This position will provide highly skilled administrative support to Hanford Mission Integration Solutions (HMIS) Information Management Services (IMS) organization, specifically for Director leadership and their respective management and organizations. Responsibilities include managing schedules, coordinating meetings, ordering office supplies, IT property administration and performing a variety of tasks to facilitate the Director's ability to effectively lead the organization. The successful candidate will be expected to efficiently manage administrative tasks with initiative, professionalism and advanced technical skills.

Candidate will operate with minimal supervision and handle assigned responsibilities effectively. The position requires the ability to thrive in a fast-paced, technology-focused environment and includes the following key duties:

  • Prepares and edits correspondence, communications, presentations, and other documents.
  • Coordinates meetings and events, including supporting preparation of meeting materials, arranging logistics, and documenting minutes and actions.
  • Screens meetings responding on behalf of the management when appropriate.
  • Handles confidential information with the utmost discretion and professionalism.
  • Supports the Director in various strategic projects and tasks as needed.
  • Ensure consistent and timely support of daily administrative services for the Information Management Services organization, including, but not limited to commitment tracking, mail, travel arrangements and expense reports, organization-wide events, moves, building administration and other administrative support.
  • Support leadership and standards set by the organization Executive Admin as well as collaborate with a team of administrative assistants in executing task assignments and providing coverage.
Basic Qualifications
  • High School diploma or GED, plus a minimum of eight (8) years of administrative experience - OR - an equivalent combination of education and experience.
  • Minimum of two (2) years of calendar management and/or scheduling experience
  • Previous experience supporting an Information Technology, Information Management or Business Services organization
  • Ability to obtain and maintain a Personal Identity Verification (PIV) Credential badge.
Proficient In The Following
  • Microsoft Teams:
    Utilizing Teams for chat, meetings, calls, file sharing and other collaborative functions, as it is primary communication tool of the organization
  • Microsoft Outlook Calendaring:
    Efficiently managing schedules and meetings with appropriate meeting options, resources, attendees and more, ensuring efficient time management.
  • Microsoft PowerPoint Presentation Preparation:
    Creating and formatting professional presentations to support various business needs.
Other Skills Required
  • Punctual and dependable
  • Demonstrates meticulous attention to detail
  • Strong interpersonal and communication skills as well as written communication skills including editing for accuracy, completeness.
  • Superior organizational skills with a proficiency to prioritize and handle multiple high-priority tasks simultaneously.

Familiarity and/or Experience in:

  • Hanford and/or government environment or similar size enterprise
  • Employee Job Hazard Analysis system
  • Enterprise Service Platform (ESP) or service ticket system
  • Property Administration and/or Sunflower or asset management system
  • Correspondence Action Tracking System (CATS)
  • Facilitating meetings using Teams Endpoints
  • Coordinating Office Moves
  • Excess and Nationalization processing
