Position Summary

The OHS & Office Administrator supports the OHS Manager by managing data entry, OHS administration, and the electronic safety management system. The role collaborates with the Health & Safety Coordinator to ensure compliance with OH&S legislation and promotes a culture of safety across all sites. Additionally, the position provides front‑desk reception coverage during lunch and as needed.

Responsibilities
  • Safety Administration
    • Record keeping, data entry, and filing of all internal and external safety reporting.
    • Assist with scheduling and record keeping of required OHS training.
    • Assist with Health & Safety Orientation for all new field employees.
    • Order health and safety supplies for sites.
    • Complete inventory quarterly.
    • Prepare monthly KPI reports; review and issue to project teams.
    • Track OHS statistics.
    • Assist with 3rd party compliance updates.
  • Site Support
    • Assist with site trailer document setup and ongoing management.
    • Maintain New & Young worker records of training.
    • Maintain First Aid inventory and safety assets.
    • Assist with site mobilisation and demobilisation admin processes.
  • Construction Operations Review (COR) Support
    • Assist with the annual OHS & IM Program review.
    • Manage OHS Program Manual documentation (form creation, filing, printing, distribution).
    • Implement annual COR action items.
    • Track yearly review of Safe Work Practices and Safe Job Procedures.
  • Sub‑Contractor Safety
    • Coordinate OHS information requests to subcontractors and maintain records.
  • Office Support
    • Maintain office cleanliness and restock supplies and snacks.
    • Assist with filing invoices and scanning documents.
    • Prepare safety binders for various sites.
    • Coordinate with IT for necessary resources.
    • Collaborate with HR and IT for smooth onboarding and offboarding.
    • Provide reception coverage during lunch and as needed.
    • Perform other administrative tasks as assigned.
Qualifications
  • Post‑secondary education or training in administration, health & safety, or a related field.
  • Preference for experience in construction/site safety.
  • Valid BC driver’s licence (position may require travel across Lower Mainland sites).
  • Knowledge of occupational health & safety legislation is an asset.
  • Strong computer skills (Microsoft Office).
  • Ability to prioritize and multi‑task in a fast‑paced environment.
  • Clear and accurate documentation skills.
  • Independent and team‑oriented work style.
  • Excellent written and oral communication skills.
  • Strong organisational abilities and attention to detail.
