Kinetic Construction Ltd. has an opportunity within our Vancouver office for an Executive Assistant to provide high-trust, high-caliber administrative and operational support to the President and the Director of Operations of a mid-size, growth-oriented construction company (~200 employees, three branches across BC, ~$300M annual revenues). This role is pivotal in orchestrating executive time, communications, and information flow; preparing executive-level content; ensuring meeting readiness and follow-through;
managing complex travel and expenses; and maintaining rigorous confidentiality around sensitive strategic and personnel matters.
Beyond administrative excellence, this EA acts as a force multiplier for organizational efficiency – streamlining workflows, reducing friction, and enabling faster decision-making. By serving as a central coordination point, the EA fosters collaboration across all departments and business units, ensuring alignment on priorities and visibility into high-level issues.
- President and Director of Operations consistently operate at peak efficiency, with calendars, priorities, and commitments managed to minimize friction and maximize strategic focus
- Executive communications (internal and external) are clear, timely, and aligned with organizational priorities, ensuring stakeholders have accurate and actionable information.
- All executive meetings are fully prepared with agendas, briefing materials, and decision-support documents; post-meeting actions are tracked and completed promptly
- Complex travel itineraries and expense reporting are handled flawlessly, ensuring cost-effectiveness, compliance, and minimal disruption to executive schedules
- Sensitive strategic personnel information is safeguarded at all times, reinforcing trust and integrity in executive operations
- Administrative processes are streamlined and documented, reducing bottlenecks and enabling faster decision-making across the organization
- Act as a central hub for executive priorities, fostering collaboration and alignment among all business units and ensuring visibility into high-level issues
The salary band for this position is $71,017 to $106,525 annually and is based on relevant skills and experience.

Position Specifications
Qualifications
- 7-10+ years as an Executive Assistant supporting a C-Suite leader in a dynamic environment; construction or adjacent industries preferred
- Expert in Microsoft Office (Outlook, Teams, SharePoint, One Drive, Word, Excel, PowerPoint)
- Exceptional writing and editing; comfortable drafting executive-quality materials and client-facing correspondence
Knowledge skills and abilities
- Familiarity with construction terminology, project life cycles and site/branch dynamics an asset
- Able to represent the priorities and needs to the President & DOO
- Able to understand and anticipate priorities as they relate to the needs of the business
- Fluency with travel platforms and expense tools
- Proven record handling sensitive information and privileged notes
- Mastery of prioritization, logistics, and time management; thrives amid shifting demands and short lead times
