Position Purpose and Summary
The MBA Program Administrative Assistant will work primarily from the Richmond campuses, providing assistance and administrative support to the faculty, staff and students in the MBA program.
Key Areas of Accountability1. Office Administrative Assistance
- Acts as the main MBA program liaison/receptionist, greeting all students and guests, answering questions, giving direction, and taking clear and accurate messages.
- Responsible for providing administrative and secretarial support for the MBA Director, MBA Program Manager, and MBA Program Coordinator from the Richmond campuses.
- Assist with all classroom arrangements for the MBA faculty who teach in the Richmond program. Prepare the class list and name tents for all Richmond MBA classes. Support the Richmond faculty and MBA Program Coordinator as needed.
- Assists the MBA Director by scheduling meetings, maintaining appointment calendar (when needed), and taking minutes of meetings, if required.
- Coordinates the administration for the MBA Travel Studies (i.e. flights, hotels, documentation collection, etc.).
- Data entry of student information and study plans into an excel spreadsheet for analysis by MBA Program Manager and MBA Director.
- Gathering all grade reports from faculty to file and submit to Provost/Registrar’s Office.
- Assisting part-time and full-time faculty in setting up and maintaining Moodle.
- Responsible for setting up new faculty and staff with parking passes, office space, etc. on Richmond campuses.
- Making travel and accommodation arrangements for MBA faculty teaching in Richmond.
- Acts as general liaison between the student and faculty. Provides accurate and well informed information about the MBA program and department to guest inquiries and potential students.
- Provides assistance to students for course registration, as needed, by new and current graduate students.
- Responsible for maintaining accurate and up-to-date databases for alumni and external contacts of the MBA Program.
- Provides support for the MBA Director, MBA Program Manager, MBA Program Coordinators, in updating marketing materials, website, and social media, if needed.
- Determining and ordering appropriate promotional items for new students and gifts for guest lecturers and marketing events.
- Booking of appropriate facilities on and off campus, when required.
- Assisting in the planning of events related to the MBA program, including graduation ceremonies.
- Ability to use all aspects of MS Office Suite and basic design programs.
- Familiar with academic / technical terminology, and technical diagrams.
- Able to ensure the smooth operation of a busy office through organization and prioritization, in spite of a heavy workload.
- Strong interpersonal abilities and cross-cultural sensitivity in interacting with a wide range of students, staff and faculty, as well as off campus contacts.
MBA Director and MBA Program Manager
Education2 years post-secondary secretarial training or equivalent.
Experience2-3 years prior experience in providing administrative support to a large department, preferably at a post-secondary institution.
