Position: Operations & Office Assistant (Richmond)

Job Overview

Century 21 Prudential Estates (RMD) Ltd. is looking for a full-time Operations & Office Assistant to join our Richmond office. This role provides general administrative and office support, including reception coverage, mail handling, document filing, CRM updates, strata‑related administration, strata form requests and invoicing, and support to the administration team as needed. The ideal candidate is organized, detail‑oriented, reliable, and able to multitask in a busy office environment.

Prior office experience, strong English communication skills, computer proficiency, customer service experience, property management knowledge, CRM experience, or a second language would be considered an asset.

Responsibilities
  • Provide reception coverage two days per week, including daily breaks and lunches, as well as holiday relief.
  • Distribute incoming mail, process and record outgoing mail.
  • Process and take registered letters to post office.
  • Maintain and update documents and CRM system related to strata properties we manage.
  • Maintain and file documents electronically (Docu Xplorer).
  • Process strata form requests for strata clients/invoicing.
  • Print envelopes for distribution of monthly financial statement.
  • Provide support to the administration team during vacation periods and sick leave.
Qualifications
  • Excellent verbal and written English communication skills.
  • Previous office experience preferred.
  • Ability to multitask and meet deadlines.
  • Solid organizational skills and attention to detail.
  • Must be able to work well in a team environment.
  • Proficient computer skills:
    Windows OS and Microsoft Office Word, Outlook, Excel.
  • Experience with CRM software is an asset.
  • Customer service skills and/or experience are an asset.
  • Knowledge of the property management industry is an asset.
  • Second language is an asset.
