5400 Rehab Services-Mgmt Clerical
Schedule:
Day Shift. 40 hours weekly. 9:30am-6:00pm Monday-Thursday. 8:30-5:00pm Friday.
This position is responsible for all scheduling functions related to rehab services:
Evaluations, Progress Updates, and on-going treatments. The position will work closely with management and the clinical staff to optimize patient care and efficient operations.
- Answers incoming phone calls, schedules patient appointments, or transfers caller as appropriate according to established guidelines by department management.
- Schedules and/or documents phone encounters for open scheduling inquiries.
- Maintains all office appointment schedules by scheduling patients based on convenience of patient, urgency, POC, and time required (including assessment and ongoing treatment).
- Manages Epic waitlist functions and schedules POP list visits.
- Works assigned work queues in Epic.
- Works with management to edit ongoing treatment schedules to open new eval/treatment slots.
- Cancels and reschedules appointments.
- Audits/manages patient attendance procedures/processes and notifies management of noncompliance.
- Reschedules patients when needed for provider call-ins, emergencies, or approved provider time off.
- Completes order transcribing for outside referrals.
- Manages contract/agency therapist schedules.
- Schedules/reschedules patients for new therapists or departing therapists.
- Blocks therapists’ schedules as needed per department policy.
- May cover Office Assistant duties as assigned at smaller clinic locations.
- May cover Rehab Tech duties as assigned at smaller clinic locations.

Education & Experience- High school diploma or equivalent
- Previous computer experience
- Preferred six months of medical-related office experience
