Executive Assistant to the Associate Provost for Faculty Affairs

The Faculty Affairs Executive Assistant provides high-level administrative and operational support to the Associate Provost for Faculty Affairs. The role serves as a primary front-facing representative of the office, managing sensitive, time-critical activities with professionalism, discretion, and responsiveness. It coordinates activities across the Office of Faculty Affairs, supports executive‑level functions, and ensures continuity of operations so that team members can focus on specialized responsibilities.

Minimum Qualifications

Bachelor’s degree or equivalent.

Core Responsibilities Executive Support
  • Provide high‑level executive support to the Associate Provost, ensuring priorities, deadlines, and commitments are proactively managed.
  • Manage a complex and dynamic calendar, anticipating conflicts and aligning scheduling with strategic priorities.
  • Prepare briefing materials, agendas, and correspondence to support leadership decision‑making.
  • Track and follow up on time‑sensitive initiatives, deliverables, and commitments.
  • Assist with coordination of strategic projects and leadership initiatives, exercising independent judgment where appropriate.

Percentage of time: 50 %

Office Operations & Front‑Facing Role
  • Serve as the primary front‑facing contact for the Office of Faculty Affairs, ensuring a consistently professional and responsive experience.
  • Triage incoming requests, directing issues appropriately and ensuring timely resolution.
  • Provide flexible support by absorbing high‑priority, intermittent tasks to maintain workflow continuity and allow team specialization.
  • Monitor office responsiveness and ensure timely communication across stakeholders.
  • Support operational needs including financial transactions, event coordination, and communications.

Percentage of time: 20 %

Administrative Infrastructure & Systems
  • Maintain and improve organized, accessible filing and records systems (digital and physical).
  • Support workflow consistency and documentation, ensuring continuity across operations.
  • Manage confidential materials with a high degree of discretion and accuracy.

Percentage of time: 20 %

Support of Evolving Operational and Strategic Priorities
  • Perform additional duties as assigned, providing flexible support to address emerging priorities, time‑sensitive needs, and shifting operational demands across the office.

Percentage of time: 10 %

Professional Qualifications
  • Ability to plan, organize, and prioritize multiple tasks in a fast‑paced environment.
  • Excellent written and verbal communication skills; professional communicator with individuals at all organizational levels.
  • Experience with administrative systems and workflow tools, or ability to quickly learn.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with Adobe and Canva.
  • Ability to manage priorities, solve problems, and collaborate effectively.
  • Works independently with sound judgment and appropriate discretion in seeking guidance.
  • Maintains strict confidentiality and discretion.
  • Builds effective working relationships with faculty, staff, administrators, and external stakeholders.
  • Adapts quickly between routine tasks and urgent, time‑sensitive priorities to support team effectiveness.
  • Maintains a consistent office presence as a key point of contact.
  • Learns and adapts to new systems and technologies.
Physical Demands
  • Sitting for extended periods; frequent use of a computer.
  • Occasional standing and bending; walking short distances on campus.
  • Lifting/carrying boxes of 15–20 lbs.
